Job Overview

The Billing and Office Coordinator at Serenity Care Resources plays a crucial role in overseeing the daily billing operations and administrative tasks of the agency. Key Responsibilities

Administrative Duties:

  • Provide leadership and guidance to team members.
  • Utilize a broad range of experience in caregiving, billing, and office management.
  • Exhibit strong organizational skills and attention to detail, particularly in homecare billing.
  • Adapt to a fast-paced environment and manage shifting priorities effectively.
  • Process billing for all clients using the EVV system on a weekly basis.
  • Possess in-depth knowledge of EVV systems, including functionality and reporting.
  • Demonstrate excellent interpersonal and communication skills.
  • Handle responsibilities with professionalism, accuracy, and confidentiality.
  • Work effectively with diverse populations.
  • Participate in an on-call rotation to cover caregiver absences.

Billing Coordinator Responsibilities:

  • Manage the submission and follow-up of claims for Medicaid, commercial, and private payers.
  • Ensure all claims are submitted accurately and address any rejections promptly.
  • Collaborate with the Director and Office Manager to maintain schedules and reports.
  • Analyze denial data to identify root causes and develop strategies for resolution.
  • Communicate with insurance carriers to resolve outstanding accounts.
  • Conduct coding reviews to prevent errors during the appeals process.
  • Draft appeals to resolve billing discrepancies effectively.
  • Prioritize tasks to address billing issues in a timely manner.
  • Utilize reports to track and overturn denials.
  • Identify opportunities for improvement in billing processes.
  • Manage correspondence and requests according to departmental procedures.
  • Assist with chart audits and maintain accurate documentation.
  • Respond to inquiries regarding coverage and reimbursement.
  • Research and resolve issues noted in EOBs and remittance advices.
  • Keep management informed of any changes in billing practices or insurance networks.
  • Maintain internal logs and assist with month-end closing processes.

Office Coordinator Responsibilities:

  • Implement office workflow procedures to enhance efficiency.
  • Serve as the primary contact for EVV-related issues until resolved.
  • Organize and maintain filing systems for records.
  • Handle phone calls and all forms of correspondence.
  • Monitor office expenses and manage contracts.
  • Perform basic bookkeeping and update the accounting system.
  • Conduct background checks for employees.
  • Ensure office equipment is operational and well-stocked.
  • Manage inventory of office supplies and place orders as needed.
  • Support meeting and conference arrangements.
  • Maintain a tidy and organized office environment.
  • Assist in managing vendor relationships.
Preferred Qualifications
  • A four-year college degree is preferred.
  • Two years of experience in medical billing or office coordination.
