About the Role

We are seeking a highly skilled and experienced Administrative Support Specialist to join our Global Reinsurance team. As a key member of our team, you will provide exceptional administrative support to our executive leaders, ensuring seamless day-to-day operations and contributing to the success of our organization.

Key Responsibilities
  • Manage calendars, appointments, travel, and meetings, utilizing effective prioritization and decision-making skills to resolve potential schedule conflicts.
  • Efficiently plan and manage travel and meetings, ensuring cost-effectiveness and adherence to company policy.
  • Provide exceptional customer service, forming networks of individual relationships spanning multiple business units across HIG, Global Reinsurance, and OCUO organizations.
  • Maintain a mature and sophisticated approach to information security, data privacy, and confidentiality, exercising utmost judgment and tact.
  • Prepare and edit presentation materials, produce ad hoc reports, and manage special projects, adapting procedures and processes to meet departmental goals and objectives.
  • Initiate timely and professional responses to emails, voicemails, and written correspondence, demonstrating a team player attitude.
  • Plan and execute offsite and virtual events for internal and external stakeholders, negotiating with vendors, sending and tracking invitations, and ensuring events stay within budget.
Requirements
  • Minimum 5 years of administrative experience supporting at the Executive level.
  • Bachelor's or Associate's degree preferred, but not necessary.
  • Excellent customer service skills, verbal and written communication skills, planning, and organizational skills.
  • Strong computing abilities and power user of critical technology applications, including Microsoft 365, OneNote, Workday, and Travel and Expense applications.
  • A high level of initiative, self-motivation, and ability to work in a fast-paced environment.
  • Impetus for team efficiencies and continuous improvement in routines, tools, and processes.
  • Detail and quality-oriented, with the ability to work on multiple assignments simultaneously.
  • Efficiency and ability to prioritize and project manage, exercising independent judgment and escalating only serious or unique problems to higher levels.
