Maintenance Planner Job Summary

The Maintenance Planner/Scheduler will play a critical role in promoting safety, quality, and reliability in all maintenance activities conducted by the department. This position is responsible for improving workforce productivity and work quality by eliminating potential delays and obstacles through proper planning and coordination of labor, parts, and materials.

Key Responsibilities:
  • Receive and review work order requests from various areas to ensure work scope is clearly described, priority is realistic, and lead-time, cost, and other coding is complete and accurate.
  • Create properly filled-out work orders for all approved work requests, referring questionable requests to the Maintenance Manager for approval.
  • Examine unplanned work orders and determine the best way to accomplish the work, consulting with the Maintenance Manager when necessary.
  • Obtain blueprints, drawings, instructional manuals, and special procedures to clarify work order intent.
  • Work closely with the Purchasing Clerk for timely delivery of parts and equipment.
  • Identify and obtain determinable materials, entering material needs on the work order.
  • Ensure safety needs are prioritized in work planning.
  • Estimate work orders, showing sequence of steps, number of mechanics, and required labor-hours for each step, listing special tools or equipment.
  • Estimate cost for each work order in terms of direct labor, materials required, and total cost.
  • Maintain a backlog of work orders awaiting scheduling and unplanned work orders, updating delay codes as necessary.
  • Verify availability of parts, materials, and special tools required for job execution.
  • Develop a maintenance work schedule for the Maintenance Manager, selecting work orders with labor requirements matching the workforce's capability.
  • Coordinate labor and allocate requirements through Maintenance Supervisors and Managers.
  • Meet deadlines established by requesting departments and maintain preventive maintenance schedules.
  • Notify requesting departments and management if work orders cannot be scheduled within prescribed priority lead-time.
  • Conduct weekly meetings with the Maintenance Manager and Production/Project Engineer to negotiate downtime windows for preventive and corrective maintenance.
  • Finalize the Maintenance Work Schedule and PM Work Schedule by Thursday at 1:00 pm, ensuring work scheduled balances with available man-hours.
  • Coordinate checkout and staging of predetermined parts, materials, and special tools, ensuring equipment is available and ready.
  • Issue approved schedules with relevant work orders and planning documents to the Maintenance Manager.
  • Discuss planning packages with special instructions or considerations for job execution and review new jobs coming up in the future.
  • Follow up to ensure completed schedules and work orders are returned at the proper time.
  • Review completed schedules and corresponding work orders submitted by the Maintenance Manager, monitoring work order progress for necessary reports.
  • Provide the clerk with all documents for reporting and/or closeout.
  • Promote conservation of energy and resources.
  • Maintain a ready package of schedulable work orders requiring equipment shutdown for simultaneous execution.
  • Develop a file of standard work orders for regularly recurring repair jobs, simplifying the planning process.
  • Review actual labor expended versus estimated labor and materials used for completed jobs to determine corrective measures.
  • Keep the Maintenance Manager informed on abnormal or critical situations and seek advice on matters outside the planner's knowledge or authority.
  • Make recommendations for system improvement.
  • Maintain necessary records and files, preparing and distributing meaningful and accurate control reports.
