POSITION SUMMARY:


The HR Operations Specialist plays a crucial role in executing HR-related functions at a professional level, collaborating closely with the HR team to support the workforce effectively.

This role encompasses responsibilities across various HR domains:

employee relations, labor relations, management of leaves of absence, systems oversight, training initiatives, performance management, policy enforcement, and adherence to employment laws.


KEY RESPONSIBILITIES:

  • Deliver exceptional guidance and support to employees, addressing any concerns that may arise.
  • Facilitate the management of leaves of absence in partnership with external vendors, ensuring accurate record-keeping and reporting.
  • Oversee employee documentation and maintain personnel files, including relevant HR systems.
  • Address timekeeping discrepancies in conjunction with HR data management.
  • Conduct onboarding sessions to ensure a seamless transition for new hires and promote retention through training and development initiatives.
  • Assist in the formulation and execution of HR policies and procedures, offering clarity and interpretation to staff.
  • Support the HR Manager in adhering to the grievance process as outlined in contractual agreements.
  • Collaborate with union representatives under the guidance of the HR Manager during facility closure discussions, maintaining accurate meeting records.
  • Engage with union stewards to resolve issues proactively and mitigate grievances.
  • Help produce and maintain employee handbooks for both union and nonunion staff, covering essential work rules and safety protocols.
  • Foster and maintain effective working relationships across all levels of the organization, encouraging open communication and constructive feedback.
  • Contribute to the development of departmental goals and objectives to drive organizational success.
  • Design and implement performance management and goal-setting frameworks.
  • Provide training sessions for employees and management on topics such as labor laws, anti-harassment policies, and other organizational initiatives.
  • Ensure compliance with I-9 documentation and manage E-Verify processes in accordance with regulations.
  • Monitor employee compliance by tracking the expiration of employment authorization documents and notifying management of potential issues.
  • Maintain organizational charts for all hourly employees by department.
  • Organize and plan employee engagement events.
  • Perform additional duties as assigned.

Essential Skills

SPECIFIC COMPETENCIES:

  • Minimum of 3 years of experience in human resources or a combination of relevant education and experience.
  • Solid understanding of federal and state labor regulations, along with company policies and procedures.
  • Exceptional customer service orientation.
  • Meticulous attention to detail with strong analytical skills.
  • Resourceful problem-solving abilities to address issues effectively.
  • Excellent time management and organizational skills, thriving in a fast-paced environment.
  • Proficient in handling sensitive and confidential information with discretion.
  • Strong communication and interpersonal skills, capable of engaging with employees at all organizational levels.
  • Ability to coach employees and management through complex and sensitive issues, providing sound recommendations.
  • Proficient in MS Office, with intermediate skills in Excel.
  • Bilingual proficiency in English and Spanish is required.

PHYSICAL DEMANDS:

  • This position requires prolonged periods of sitting, using hands for tasks, and effective communication. The employee may occasionally lift up to 15 lbs.

WORK HOURS & TRAVEL:

  • Willingness to work beyond standard business hours as necessary.
  • Ability to travel as required to provide support.

EDUCATION & EXPERIENCE:

  • A Bachelor's degree in business, human resources, administration, communications, or a related field is preferred.
  • Relevant coursework in HRPA Certification is desirable.

SALARY RANGE:

$74,000.00 to $78,000.00 Annually
