Job Overview

Position Summary:

Under the guidance of the Director of Psychiatric Services, the Psychiatric Clinical Coordinator is responsible for orchestrating psychiatric clinical services for specialized care patients. This role includes overseeing the management of psychiatric provider panels, delivering both clinical and administrative support to providers, and offering direct clinical services to patients through essential patient care tasks aligned with the medical assistant role.

Key Responsibilities:

  • Act as a resource for the psychiatric services team, particularly regarding specialized patient populations.
  • Assist in the development and execution of special projects initiated by the psychiatric services team.
  • Participate in regular team meetings with psychiatric providers to discuss high-risk cases and strategize on delivering patient-centered, trauma-informed care.
  • Serve as the primary contact for patients between visits via a dedicated telephone line.
  • Ensure all scheduling requirements are fulfilled for assigned providers.
  • Complete and document clinical tasks as requested by providers, including tracking prior authorizations and sharing lab results.
  • Monitor follow-up and health maintenance needs for all patients under assigned providers to ensure proper care for at-risk populations.
  • Manage a database of patients requiring psychiatric consultations to ensure timely follow-up.
  • Engage patients in health coaching and motivational interviewing techniques.
  • Provide advocacy and navigation support for Family Health Center services and community resources.
  • Prepare examination rooms with necessary equipment and supplies for various procedures.
  • Direct patients to examination rooms promptly after registration to assess the reason for their visit.
  • Conduct medication reconciliations and review patient information to discuss medical concerns with nursing staff or providers.
  • Maintain and prepare note templates tailored to the purpose of each encounter.
  • Keep a repository of psychiatric clinical questionnaires, registration forms, and consent documents in multiple languages, explaining their purpose to patients.
  • Document quality control measures and procedures for point-of-care devices.
  • Implement infection control procedures for sterilization and cleaning.
  • Address patient complaints and escalate issues as necessary.
  • Participate in root cause analysis to identify challenges and recommend future improvements.
  • Adhere to all organizational and departmental policies, including patient rights, confidentiality, and dress code.
  • Maintain a safe and healthy environment for patients, visitors, and coworkers.
  • Accept responsibility and accountability for work performance as defined by role.
  • Make informed decisions based on facts and sound judgment.
  • Proactively support the transformation to a patient-centered medical home model.

Qualifications and Education Requirements:

To be considered for this position, candidates must meet one of the following combinations of education and experience:

  • High School Diploma or GED.
  • Three years of experience in primary health care, psychiatry, or a related healthcare setting.
  • Phlebotomy training is preferred.
  • Certification as a Medical Assistant or Registered Medical Assistant from an accredited program, or a specialty certification with a minimum of three years of experience in a relevant specialty.
  • Strong written and verbal communication skills, along with proficiency in Microsoft Word, Excel, and Outlook.
