Job Summary

The Administrative Specialist III is a key role in the MaineHealth Innovation division, providing a combination of administrative, operational, and project-based work that is essential to the mission of MaineHealth. This role requires a proactive, detail-oriented individual who can work effectively with people and thrive in a fast-paced learning environment.

Responsibilities
  • Liaise with internal and external stakeholders to schedule meetings and ensure seamless communication.
  • Prepare presentation materials in collaboration with the Vice President, showcasing the team's innovative work.
  • Manage inventory, documents, and space to maintain a well-organized and efficient work environment.
  • Onboard new MaineHealth Innovation employees and clinical coaches, ensuring a smooth transition.
  • Monitor and respond to general inquiries to the Innovation Center's communication channels, providing timely and accurate information.
  • Greet care team members visiting MaineHealth Innovation, providing a warm and welcoming experience.
Requirements
  • High school diploma or GED preferred.
  • Minimum of 3-4 years of experience in an administrative support role required.
  • Exceptional written and oral communication skills.
  • Advanced skills with Microsoft Office Word, Excel, and PowerPoint.
  • Strong interpersonal skills.
  • Strong multi-tasking skills.
  • Strong problem-solving skills.
  • Knowledge of medical terminology preferred.
