Role Overview: We are seeking a Client Support Coordinator to enhance the operational efficiency of our Installation Apprenticeship program. This role is pivotal in ensuring that all administrative tasks are executed seamlessly, both individually and collaboratively.
Key Responsibilities:
- Assist the Operations Manager with administrative tasks.
- Support Team Leaders with necessary documentation and processes.
- Maintain accurate records and documentation within our systems.
- Establish and manage personal records for apprentices.
- Ensure the precision and efficiency of all apprentice records.
- Oversee data management on apprenticeship trackers.
- Handle email communications professionally.
- Coordinate hotel and meeting room bookings for the apprenticeship program.
- Ensure timely and accurate ordering of materials and resources for new apprentices.
- Manage apprentice mileage claims, ensuring accuracy.
- Assist in the recruitment process for apprentices.
- Facilitate recruitment paperwork for new team members.
- Support the planning and execution of administrative tasks related to the apprenticeship program.
- Assist with various operational needs of the Service Centre and Quality Control Team as required.
- Liaise with external vendors to schedule training sessions and manage apprentice block release dates.
- Provide the Operations Manager with precise data regarding apprentice progress and associated costs.
Candidate Profile:
- Demonstrated experience in a relevant administrative capacity.
- Proficient in various IT systems, particularly Google platforms (e.g., Sheets, Docs, Slides, Forms).
- Ability to collaborate effectively and execute tasks efficiently.
- Strong prioritization skills and decision-making capabilities.
- Experience working with both internal and external stakeholders.
- Excellent computer and communication skills.
