Client Relations Specialist

Location: Milton, ON

The Client Relations Specialist plays a crucial role in building and maintaining a positive rapport between the clinic and its clientele, which includes patients, staff, funding bodies, and referral sources. This is accomplished by delivering efficient administrative assistance and coordinating clinic operations with a friendly, enthusiastic, and professional demeanor towards all patients, team members, and external stakeholders.

Key Responsibilities:

  • Respond to incoming calls, warmly welcome patients and visitors upon their arrival, and provide exceptional service for any inquiries or concerns.
  • Facilitate a thorough and precise intake of information during the patient's initial visit and throughout their treatment journey.
  • Assist patients in completing necessary documentation at the clinic to minimize errors and ensure accurate information.
  • Manage the scheduling of patient appointments and maintain comprehensive medical records.
  • Collect payments at the time of service delivery.
  • Monitor coverage for all funding sources to guarantee approval.
  • Perform data entry and billing tasks efficiently.
  • Oversee the coordination of courier services (incoming and outgoing) and manage email, mail, and fax communications.
  • Provide administrative support to the Care Coordinator Manager and Clinic Director.

Qualifications & Core Competencies:

  • High School Diploma, G.E.D., or equivalent.
  • Outstanding customer service abilities and telephone etiquette.
  • Strong organizational skills with the capacity to prioritize and manage multiple tasks.
  • Excellent verbal and written communication skills, along with strong interpersonal abilities.
  • Proficient computer skills and data entry capabilities.
  • Adaptable and flexible in response to change.
  • Experience in a physiotherapy setting is considered an asset.
  • A valid driver's license and access to a reliable vehicle are required.
