Job Summary

We are seeking a highly organized and dedicated On-Site Office Administrator to support project management and office tasks, ensuring the smooth operation of our day-to-day activities.

Key Responsibilities
  • Manage administrative tasks, including document control, filing, and data entry.
  • Assist project managers in scheduling and coordinating meetings, preparing agendas, and handling correspondence.
  • Maintain project documents with accuracy and confidentiality, ensuring all documents are stored and easily accessible.
  • Track and manage inventory of office supplies, ensuring the job trailer is well-stocked and organized.
  • Assist in preparing project reports, presentations, and other communication materials.
  • Support project team in compliance with safety protocols and administrative procedures.
  • Facilitate communication across project teams and departments to ensure project milestones are met.
Requirements
  • Proven experience as an administrator, office assistant, or similar role, preferably in a construction or industrial environment.
  • Understanding of basic Human Resource functions, such as on-boarding, off-boarding, employee documentation, etc.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with construction industry practices and project management software is a plus.
  • High school diploma or equivalent; further education or certification in administrative services or project management is preferred.
Work Environment

The work environment is often busy, and the noise level can be loud. The employee will need excellent organizational and time and stress management skills to complete the required tasks.

Physical Abilities

The employee must regularly lift and/or move up to 25 pounds and occasionally lift up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
