Job Description

SUMMARY
The Program Support Specialist plays a crucial role in providing administrative assistance to the Program's Director and Managers, facilitating the advancement of departmental projects and objectives. This position requires the coordination of various program activities, management of documentation, and effective communication among all stakeholders. Ideal candidates will possess prior experience in customer service, program management, and leadership, which are essential for ensuring that project-based programs adhere to defined schedules, specifications, and budgets.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Data Management: Conducts data entry utilizing Microsoft Office tools, including Sales Order entry, RMA, and Quote Proposals within the MRP system and Quoting software.
  • Resource Management: Oversees resource allocation and monitors task assignments through Asana, a task workflow system.
  • Administrative Assistance: Aids Program Managers in scheduling meetings, preparing agendas, and coordinating logistics. Manages correspondence and maintains documentation related to the program.
  • Meeting Facilitation: Participates in production and customer backlog meetings, accurately records meeting minutes, and distributes them to relevant stakeholders. Tracks action items and follows up on pending tasks.
  • Project Monitoring: Evaluates program progress and performance metrics. Updates and maintains project plans, schedules, and reports regularly.
  • Communication Liaison: Acts as a point of contact between Program Managers and stakeholders, ensuring effective communication and timely information dissemination. This includes regular updates to customers regarding overall program status.
  • Documentation Oversight: Organizes and maintains program documentation, including reports, presentations, and records, ensuring all documents are current and accessible.

EDUCATION AND/OR EXPERIENCE:

  • Bachelor's degree in business administration or a related field, along with relevant career experience.
  • A minimum of two years of related experience is required, preferably in the Electronics Manufacturing Industry.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong time management capabilities with a proven track record of meeting deadlines.
  • Robust analytical and problem-solving skills.
  • Ability to thrive in a fast-paced and sometimes high-pressure environment.
  • Proficiency in Microsoft Office Suite or similar software.
