Job Summary

We are seeking a highly skilled Departmental Program Coordinator to manage the NIDCD grant-funded peer mentorship network related to the Triological Society.

The successful candidate will oversee activities at the direction of the Department Chair, including budget development, oversight, and responsibility for end-to-end processes for the program. They will also be responsible for scheduling and facilitating meetings and conferences, interfacing with Triological Society staff, and managing the website and listserv.

Key Responsibilities

  • Manage budget, track expenses, and approve budgeting against grant funding
  • Implement workflows necessary for relationship facilitation in the national peer mentorship program
  • Work with the Department Chair to develop, support, and execute virtual and in-person national events and activities
  • Collaborate with external stakeholders to ensure seamless operations of the program
  • Book event facilities and manage service operations for events nationwide
  • Manage logistics, schedule travel, and ensure timely payment of invoices or reimbursements
  • Prepare agendas and presentations, and attend in-person and virtual events
  • Research, write, edit, and proof all levels of copy for online and offline needs
  • Prepare printed materials and electronic communications for distribution to mentees and stakeholders
  • Coordinate meetings and arrange travel for mentees and mentors
  • Provide accurate data and reporting on mentorship goals for reports to NIH and other entities
  • Build, update, and maintain the website, and create and update listserv content
