Contract Type: Full-time, On-site

Position Overview:

The Health Services Coordinator plays a vital role in organizing Medical Staff meetings and special events while overseeing the Medical Affairs budget. This position demands excellent communication and analytical skills to effectively engage with Medical Staff leaders and administrative teams. The coordinator will be key in identifying challenges, managing communications, and providing comprehensive administrative and consultative support to Medical Staff leadership.

Key Responsibilities:

  • Facilitate Medical Staff meetings, special events, and networking opportunities.
  • Develop and oversee the Medical Affairs budget to ensure financial integrity.
  • Safeguard the confidentiality and accuracy of physician records when addressing inquiries from various stakeholders.
  • Process credential verification requests from hospitals and managed care organizations.
  • Collaborate with various committees and medical offices to credential new healthcare practitioners and address credentialing challenges.
  • Coordinate onboarding processes for new physicians and Advanced Practice Providers (APPs), ensuring all necessary tasks are completed.
  • Organize meetings for Sections, Departments, and Medical Staff Committees, including preparing agendas, taking minutes, and managing logistics.
  • Assist in collecting data for Ongoing Professional Practice Evaluation (OPPE) and Focused Professional Practice Evaluation (FPPE) to meet compliance standards.
  • Work with hospital leadership to address and resolve physician-related concerns.
  • Coordinate communication with Medical Staff members as directed by leadership.
  • Provide administrative assistance to the Chief Medical Officer and Medical Staff President.
  • Collaborate with the Central Verification Office on information collection and process enhancement initiatives.
  • Maintain an organized calendar of meetings, events, and relevant documentation for the department.
  • Stay updated on medical staff bylaws, regulations, and policies.
  • Report to the System AVP of Medical Staff Services during the absence of the local Director of Physician Services.
  • Support additional projects and responsibilities as assigned.

Qualifications:

  • High School Diploma required; Associate's degree preferred.
  • A minimum of 5 years of administrative experience, ideally within a healthcare environment.
  • Proficiency in MS 365 is highly desirable, with experience in MS Forms being advantageous.
  • Strong organizational, communication, and problem-solving abilities.
  • Willingness to work full-time on-site.

Interview Process:

  • The initial interview will be conducted virtually by the hiring manager.
  • The subsequent interview will take place in person with the hiring manager's supervisor.
