Contract Type: Full-time, On-site

Job Summary:

The Health Services Coordinator plays a vital role in organizing Medical Staff meetings and special events while overseeing the Medical Affairs budget. This position demands excellent communication and problem-solving abilities to effectively engage with Medical Staff leaders and administrative personnel. The coordinator will be essential in identifying challenges, managing communications, and providing comprehensive administrative, consultative, and secretarial support to the Medical Staff leadership.

Key Responsibilities:

  • Facilitate Medical Staff meetings, special events, and networking opportunities.
  • Develop and oversee the Medical Affairs budget.
  • Ensure the confidentiality and integrity of physician records while addressing inquiries from various stakeholders.
  • Process verification requests for physician credentials from healthcare institutions and managed care organizations.
  • Collaborate with various committees and medical staff offices to credential new practitioners and address credentialing concerns.
  • Coordinate onboarding processes for new physicians and Advanced Practice Providers (APPs), ensuring completion of required tasks.
  • Organize meetings for Sections, Departments, and Associated Medical Staff Committees, including agenda preparation and minute-taking.
  • Assist in data collection for Ongoing Professional Practice Evaluation (OPPE) and Focused Professional Practice Evaluation (FPPE) to meet compliance standards.
  • Work with hospital administration to address physician-related issues.
  • Manage communications with Medical Staff members as directed by leadership.
  • Provide administrative assistance to the Chief Medical Officer and Medical Staff President.
  • Collaborate with the Central Verification Office on information gathering and process enhancement initiatives.
  • Maintain a calendar of meetings, events, and related documentation for the department.
  • Stay updated on hospital medical staff bylaws, rules, and regulations.
  • Report to the System AVP of Medical Staff Services when the local Director of Physician Services is unavailable.
  • Support additional projects and responsibilities as assigned.

Qualifications:

  • Minimum of a High School Diploma; an Associate's degree is preferred.
  • At least 5 years of administrative experience, preferably in a healthcare environment.
  • Proficiency in MS 365 is highly desirable, with experience using MS Forms being a strong plus.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work full-time on-site.

Interview Process:

  • The first interview will be conducted virtually by the hiring manager.
  • The second interview will be an in-person meeting with the hiring manager's supervisor.
