Job Overview:
The Health Services Coordinator plays a pivotal role in managing Medical Staff meetings and various special events while overseeing the Medical Affairs budget. This position demands exceptional communication and analytical skills to effectively partner with Medical Staff leaders and administrative personnel. The coordinator will be essential in identifying challenges, facilitating communication, and delivering administrative, consultative, and secretarial assistance to the Medical Staff leadership.
Key Responsibilities:
- Organize Medical Staff meetings, special events, and networking opportunities.
- Develop and oversee the Medical Affairs budget.
- Safeguard the integrity and confidentiality of physician records when addressing inquiries from medical offices, hospital departments, and the community.
- Handle requests for verification of physician credentials from various institutions and managed care organizations.
- Collaborate with the Credentials Committee, Medical Executive Committee, Chief Medical Officer, General Counsel, and other Medical Staff offices to credential new practitioners and address credentialing challenges.
- Coordinate onboarding processes for new physicians and Advanced Practice Providers (APPs), ensuring completion of necessary tasks.
- Facilitate Section, Department, and Associated Medical Staff Committee meetings, including agenda preparation, minute-taking, guest speaker coordination, and room arrangements.
- Assist in collecting data for Ongoing Professional Practice Evaluation (OPPE) and Focused Professional Practice Evaluation (FPPE) to meet regulatory standards.
- Engage with hospital administration to address physician-related concerns.
- Manage communication with Medical Staff members as directed by leadership.
- Provide administrative support to the Chief Medical Officer and Medical Staff President.
- Collaborate with the Central Verification Office on information gathering and process enhancement initiatives.
- Maintain a calendar of meetings, events, and related documentation for the department.
- Stay updated on hospital medical staff bylaws, rules, and regulations.
- Report to the System AVP of Medical Staff Services in the absence of the local Director of Physician Services.
- Support additional projects and responsibilities as assigned.
Qualifications:
- Minimum of a High School Diploma; an Associate's degree is preferred.
- At least 5 years of administrative experience, preferably in a healthcare environment.
- Proficiency in MS 365 is highly desirable, with experience using MS Forms being a strong plus.
- Strong organizational, communication, and analytical skills.
- Ability to work full-time on-site.
Interview Process:
- The first interview will be conducted virtually by the hiring manager.
- The second interview will be an in-person meeting with the hiring manager's supervisor.
