HAPPIER People Management is seeking a skilled Procurement Specialist to oversee the acquisition of products and services essential to our operations.

The successful candidate will manage the research, sourcing, and procurement of Furniture, Fixtures, and Equipment (FF&E), collaborating closely with our in-house design team, which includes architects, project managers, and external vendors, to bring design concepts to life through effective execution.

Key Responsibilities:

  • Oversee multiple concurrent projects, ensuring timely and efficient procurement processes.
  • Collaborate with various internal departments during project planning and execution phases.
  • Ensure accurate distribution of purchase orders to suppliers and facilitate necessary approvals for shop drawings.
  • Establish clear communication regarding delivery schedules and proactively manage supply chain participants to ensure project success.
  • Manage time effectively, prioritize tasks, and provide detailed status updates, budget oversight, and issue resolution.
  • Maintain accurate records of FF&E, Operating Supplies and Equipment (OS&E), and project specifications within our management software.
  • Conduct comprehensive Requests for Proposals (RFPs) for all commodities related to assigned projects.
  • Assist in resolving issues during the RFP process by coordinating with internal teams and suppliers.
  • Prepare concise tender analyses for review by the Director of Purchasing and relevant project teams.
  • Work with project teams to establish timelines, quantities, and delivery schedules.
  • Issue purchase orders through project management software, ensuring alignment with design specifications.
  • Communicate effectively with project teams and suppliers regarding lead-time conflicts and manage product delivery execution.
  • Provide exceptional customer support and issue resolution.
  • Track and manage the approved budget, submitting detailed reports as required.
  • Assist logistics teams in receiving and preparing orders for delivery.
  • Oversee reconciliation efforts, resolving discrepancies and ensuring timely processing of invoices.
  • Manage daily activities of project support staff to ensure optimal utilization.
  • Foster a culture of personal and professional growth within the team.
  • Proactively address and resolve personnel issues.

Qualifications:

  • A minimum of five years of experience in furnishings, finishes, art, and accessories procurement within a hospitality design context.
  • A four-year degree in Interior, Furniture, or Industrial Design.
  • Demonstrated balance of technical proficiency and creative design capabilities.
  • Strong interpersonal and communication skills.
  • Proven ability to manage multiple projects simultaneously.
  • Ability to accept and integrate creative feedback collaboratively.
  • Proficiency in Adobe Creative Suite, AutoCAD, and 3D representation techniques.
  • Capacity to work both independently and as part of a team.

The salary range for this position is between $80,000 and $95,000 annually, determined by various factors including prior experience and qualifications.
