Position Summary

The Financial Operations Associate will oversee all vendor communications and internal inquiries, ensuring accurate entry and documentation of all transactions related to external vendor purchases and internal requisitions. This role requires close collaboration with the Accounting team, Supervisor, and Controller, while delivering exceptional service to both internal and external stakeholders. The responsibilities of this position encompass a variety of accounts payable functions, including but not limited to:

  • Managing and responding to the shared accounts payable email inbox
  • Processing vendor invoices and documenting transactions in Procurement Express
  • Investigating and addressing customer inquiries and concerns
  • Reconciling customer accounts
  • Handling W9 and vendor documentation
  • Generating weekly accounts payable aging reports
  • Posting to the general ledger and managing 1099 filings
  • Entering data into QuickBooks Enterprise, along with reporting and statement generation
  • Assisting with various tasks as required by management, including support for other accounting functions
  • Exhibiting a strong customer service orientation and professionalism, along with meticulous attention to detail, excellent organizational skills, and the ability to work independently.

Qualifications

  • 3 to 5 years of experience in accounts payable/receivable, credit/collections, or bookkeeping
  • Degree in Business or Accounting is preferred
  • Strong verbal and written communication skills, with the ability to explain and instruct on concepts and processes
  • Excellent problem-solving skills; keen attention to detail; a mindset geared towards process improvement
  • Proficient computer skills, including knowledge of MS Office and Google Suite
  • Familiarity with automated accounting software, particularly QuickBooks (mandatory), and Microsoft Dynamics or other ERP systems (preferred)
  • A desire for continuous learning and professional growth
  • A collaborative team player willing to assist others as needed
