Court Operations Specialist

We are seeking a highly skilled and experienced Court Operations Specialist to join our team at the Oregon Judicial Department. As a key member of our team, you will provide administrative support to the judge and court, ensuring the smooth operation of court proceedings.
Key Responsibilities- Provide moderate-to-advanced administrative duties to support the judge and court, including maintaining the judge's schedule, coordinating critical court dockets and appearances, and reviewing complex files to determine appropriate next steps.
- Respond to difficult complaints and requests for information from attorneys, litigants, and the public, demonstrating exceptional customer service skills.
- Perform data entry, prepare correspondence and legal documents, edit documents for grammar and content, maintain databases and calendars, make travel arrangements, and arrange for court interpreters.
- Assist the judge in preparing for trials and court conferences by gathering data and performing limited research.
- Participate in statewide and local committee meetings as an OJD liaison, providing opportunities to make recommendations for improving court processes and procedures.
- High school diploma or equivalent.
- At least four (4) years of responsible administrative experience in a moderately complex office or business setting, demonstrating the knowledge, skills, and abilities needed for this position.
- Any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities for the position.
- Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
- Experience using a variety of software programs to access and input information and complete various tasks.
- Skill in responding tactfully and professionally to customers or clients who are facing challenging life circumstances, stressful situations, or trauma.
- Experience explaining processes, procedures, or policies.
- Experience identifying and safeguarding confidential information and materials.
- Skill in writing and in reviewing documents for accuracy, completeness, content, grammar, and punctuation.
- Experience working with underrepresented communities.
- Experience working as a paralegal or legal assistant is preferred but not required.
- This is a full-time position, and the work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday.
- Occasional after-hours or overtime work may be required.
- Frequent phone and in-person contact with people from diverse backgrounds.
- Frequent phone and in-person contact with people who may be facing challenging life circumstances or highly stressful situations.
- Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
