Temporary Administrative Support Professional

Phaxis is seeking an experienced administrative/clerical support professional to join its Development Services Team as a Coordinator for a Temporary Assignment. In this role, you will provide administrative/clerical support duties/tasks in a busy, non-profit area of the organization. You will report to the Lead, Development Services. The ideal candidate will have experience working in a busy, non-profit environment, with strong administrative skills, excellent verbal and written communication skills, and the ability to exercise discretion with sensitive information.

Responsibilities and Duties
  • Sort, log, secure, and distribute incoming mail.
  • Manage incoming checks while ensuring adherence to compliance regulations.
  • Coordinate the pick-up and delivery of checks, sensitive documents, and other items between offices or departments.
  • Provide exceptional customer service.
  • Generate, print, and mail all correspondence, such as receipts and acknowledgments.
  • Assess the quality of printed correspondence to ensure it meets high standards.
  • Organize and maintain the file system.
  • Update and manage the donor database.
  • Apply analytical skills and judgment to identify the appropriate handling in various situations.
  • Ensure timely and accurate data entry.
  • Troubleshoot problems in the donor database.
  • Learn and apply Department guidelines.
  • Use independent judgment to identify and redirect or escalate issues proactively.
  • Exhibit exceptional attention to detail in all aspects of work.

Qualifications and Skills
  • High School Diploma/GED required, Associate's or Bachelor's plus.
  • Two to Four (2-4) years of shown experience in a busy, non-profit environment.
  • Experience with a large database and data analysis.
  • Experience with Microsoft Office, spreadsheets, word processing, and other standard desktop applications.
  • Detail-oriented with excellent analytical skills.
  • Proficient in using search techniques in information and relational databases.
  • Excellent communication skills and ability to convey decisions and resolutions to any internal or external partner.
  • Customer service mindset.
  • Integrity-driven and a strong work ethic.
  • Enthusiasm and dedication to the organization's vision, mission, and values.

Working Conditions
  • Working onsite Five (5) Days per Week (Mon-Fri) in offices located near Grand Central.
  • Hours are 9am-5pm.
