Job Overview

As an integral part of our team at So Hospitality Group, the Assistant Events Manager plays a pivotal role in orchestrating exceptional banquet services and ensuring flawless event execution.


Key Responsibilities
  • Manage all aspects of banquet service operations, ensuring that every detail is meticulously executed and events are conducted on schedule.
  • Review Banquet Event Orders (BEOs) at the start of each shift to confirm room setups align with contractual agreements and verify A/V equipment requirements.
  • Supervise the banquet service team, providing guidance and leadership in the absence of the Banquet Manager.
  • Collaborate effectively with Catering/Sales, Food & Beverage managers, and the Culinary team to deliver outstanding service to all guests attending meetings and banquets.
  • Oversee cost management and quality control for all banquet services.
  • Act as a liaison between guests and resort staff, ensuring exceptional customer service while adhering to company policies.
  • Maintain a clean, organized, and safe environment for all equipment and facilities.
  • Communicate any guest needs, issues, or concerns to the Banquet Manager promptly.
  • Conduct monthly inventory checks and coordinate supply orders with the Banquet Manager.
  • Work closely with Guest Services and Maintenance to manage the transportation of supplies and equipment throughout the resort.
  • Complete administrative tasks as directed by the Banquet Manager.

Qualifications
Education:
  • Bachelor's degree in Hospitality Management or a related field is preferred.
  • Equivalent experience may be considered in lieu of a degree.
  • CPR & First Aid Certification is required.
  • Must obtain OLCC permit.
  • Proficiency in Audio Visual equipment, including microphones and projectors.
Experience:
  • A minimum of 2 years of experience in Banquets, Food & Beverage, Conference Services, or a related field is essential.
  • Strong written and verbal communication skills are necessary.
  • Demonstrated positive interpersonal and customer service skills.
  • Proven project management capabilities.
  • Familiarity with MS Word and Excel is required.
  • Experience in a 4-diamond resort or higher is preferred.
  • Ability to meet the physical demands of the position.
  • Audio Visual skills are essential.

Supervisory Duties
  • Directly oversee the work of associates.
  • Evaluate associates' productivity and efficiency for potential promotions or changes in status.
  • Involve the Banquet Manager in disciplinary situations as necessary.
  • Plan and allocate work among associates effectively.
  • Ensure completion of end-of-shift duties, including billing and cleaning event spaces.
  • Collaborate with the Culinary department to ensure timely and accurate food service.

Independent Judgment
  • This role represents the company in addressing complaints and resolving disputes. The Assistant Events Manager is expected to engage with guests to ensure satisfaction and to creatively resolve challenges, involving a supervisor only when necessary.

Physical Requirements
  • Ability to communicate effectively.
  • Close and distance vision acuity.
  • Capability to identify and distinguish colors.
  • Frequent standing, walking, and sitting are required.
  • Ability to lift and carry items weighing up to 25 lbs frequently and up to 50 lbs occasionally.
  • Frequent use of manual dexterity and gross motor skills.
  • Able to reach in various directions and perform repetitive movements.

Working Conditions
  • Work may be conducted in both indoor and outdoor settings.
  • May involve working at heights or in precarious positions.
  • Schedule may vary, including evenings, holidays, and extended hours as needed.
