About the Role

The Administrative Specialist for Scheduling and Events plays a vital role in supporting the Scheduling and Events department, the Ambler Campus Director's Office, the Ambler Arboretum, and the entire Ambler campus as needed with programs and event support.

Key Responsibilities
  • Assist with scheduling, programs, and events, serving as a front-line contact person for internal and external customers.
  • Provide support to the Director of Scheduling and Events and the Events Logistics Coordinator.
  • Correspond with internal and external customers, track registrations and reservations, and assist with creating and submitting Facilities work requests.
  • Coordinate IT support coverage and audio-visual needs with IT Services, communicate with Campus Safety, and make arrangements for special campus safety needs.
  • Coordinate Campus staff and student event staff to assist at events, prepare program materials and information, and oversee the Campus mailroom.
  • Manage and train student workers in the Director's Office and assist with student event staff management.
  • Serve as the Saturday on-campus point-of-contact for weekend campus activities and may be required to work early mornings, evenings, and weekends to ensure professional staff coverage.
  • Participate in a campus continuity team and may be required to report to campus to ensure continuity of operations during inclement weather or other reduced campus operations.
Requirements
  • Three (3) years of relevant experience working in programming and/or event support.
  • Excellent verbal and written communication skills, excellent customer service skills, and ability to work with a diverse population of students.
  • Demonstrated problem-solving skills, strong organizational skills, and attention to detail.
  • Proficient in Microsoft Office (MS Word, Excel, PowerPoint, MS Teams, etc.) and ability to learn new and emerging technologies.
  • Ability to work under pressure in a highly active and diverse work environment and required to work some nights and/or weekends, as necessary.
