Job Summary

We are seeking a highly skilled and organized Executive Administrative Assistant to provide administrative support to the Vice Rector at St. Charles Borromeo Seminary. The successful candidate will be responsible for performing a variety of administrative tasks, including coordinating admissions, managing the master calendar, and providing support to the Vice Rector on special projects.

Key Responsibilities
  • Coordinate the admissions process, including reviewing applications, updating databases, and providing reports to the Rector and other clergy and staff.
  • Manage the master calendar, ensuring that the appropriate number of class dates are provided for each semester.
  • Provide administrative support to the Vice Rector, including preparing agreements of service, scheduling faculty annual reviews, and coordinating special projects.
  • Assist in budget planning and ensure timely coding of invoices and processing to the Finance Office.
  • Provide support to the Vice Rector in his work as Guest Master for visiting clergy and discernment groups.
Requirements
  • College degree preferred or demonstrated proficiency with secretarial responsibilities and the communication arts.
  • Proficient in Microsoft Office Suite: Word, Outlook, Excel, PowerPoint, and Publisher.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multi-task and work independently with a high degree of confidentiality.
