Position Summary

The Facilities Operations Manager will oversee the maintenance and service operations of a designated residential community. This role entails collaborating with property owners and senior management, formulating work scopes, managing diverse capital projects, maintaining vendor relationships, and assessing properties for capital requirements, budgeting, and maintenance needs. Additionally, this position is tasked with the recruitment, training, and supervision of the onsite maintenance personnel.

  • Assist in daily operational functions to ensure property needs are met and standards are maintained.
  • Project future expenses and contribute to annual budget and long-term capital planning.
  • Oversee the financial performance of the property in alignment with the approved budget.
  • Identify improvement opportunities and communicate suggestions for enhancing efficiency, cost savings, productivity, and revenue generation.
  • Report any issues related to employee performance, financial liabilities, or asset conditions that could jeopardize property operations.
  • Resolve issues and escalate them to the Community Manager or Senior Management as necessary.
  • Manage resident and property service requests to ensure timely and accurate completion of work.
  • Utilize feedback to refine standard operating procedures and enhance customer service.
  • Conduct periodic inspections of work performed by maintenance staff, contractors, and service providers to ensure compliance with quality standards.
  • Maintain an adequate inventory of maintenance supplies and collaborate with the Community Manager to order necessary tools while adhering to budget constraints.
  • Implement monthly preventative maintenance procedures, including routine inspections of buildings and mechanical systems, and promptly address any identified risks.
  • Facilitate regular safety meetings, staying updated on OSHA and other safety regulations to ensure compliance.
  • Demonstrate exceptional customer service and communication skills, effectively engaging with residents, clients, and team members.
  • Lead, develop, and train staff to achieve established objectives.
  • Support staff development through interviews, coaching, and training to ensure adherence to procedures.
  • Troubleshoot and repair HVAC, plumbing, electrical systems, and major appliances, including tile work, carpentry, and drywall repairs.
  • Participate in an on-call emergency rotation and respond to after-hours emergencies as required.

Qualifications

  • A minimum of five to seven years of experience in property maintenance management or related fields is required.
  • A general contractor's license is preferred; certifications in HVAC, mold, asbestos removal, pool operation, or electrical work are advantageous.
  • Proven experience in mechanical, electrical, plumbing, and HVAC maintenance and repair techniques.
  • Strong management and supervisory skills to effectively lead and mentor staff.
  • Experience in budget creation and management.
  • Ability to read, write, and communicate effectively for legal, financial, and human resources documentation.
  • Proficiency in word processing, spreadsheet, and database management software.
  • Mathematical skills necessary for financial record-keeping and budget management.
  • Familiarity with industry software, with Yardi experience being highly preferred.
  • Excellent written and verbal communication skills.
  • A valid driver's license and reliable transportation are required.
