Position Summary

The Facilities Operations Manager plays a crucial role in overseeing the maintenance operations of a residential apartment community. This position involves collaborating with property owners and senior management, developing comprehensive work scopes, managing diverse capital projects, fostering vendor relationships, and conducting thorough property assessments to determine maintenance and capital requirements. Additionally, this role includes recruiting, training, and supervising the onsite maintenance team.

  • Assist in daily operational activities to ensure property needs are met and company standards are maintained.
  • Project future expenses and contribute to annual budget and long-term capital planning.
  • Oversee the financial performance of the property in alignment with the established budget.
  • Identify opportunities for operational improvements and communicate actionable suggestions to enhance efficiency and revenue.
  • Report any issues related to employee performance, financial risks, or asset conditions that may jeopardize property operations.
  • Resolve maintenance issues and escalate concerns to the Community Manager or Senior Management as necessary.
  • Manage resident service requests to ensure timely and accurate completion of work.
  • Utilize feedback to refine standard operating procedures and enhance customer service.
  • Conduct inspections of work performed by maintenance staff and contractors to ensure compliance with quality standards.
  • Maintain an adequate inventory of maintenance supplies and collaborate with the Community Manager for procurement.
  • Implement monthly preventative maintenance procedures, including routine inspections of property and mechanical systems.
  • Facilitate regular safety meetings and ensure compliance with OSHA and other safety regulations.
  • Demonstrate exceptional customer service and communication skills while interacting with residents and team members.
  • Lead, develop, and train staff to achieve established objectives.
  • Assist in staff development through coaching, counseling, and adherence to proper procedures.
  • Troubleshoot and repair HVAC, plumbing, electrical systems, and perform various maintenance tasks.
  • Participate in on-call emergency rotations and respond to after-hours emergencies as required.

Qualifications

  • Five to seven years of experience in property maintenance management or related fields.
  • Preferred general contractor's license and relevant certifications in HVAC, electrical work, and other trades.
  • Proven experience in mechanical, electrical, plumbing, and HVAC maintenance techniques.
  • Strong management and supervisory skills to lead and mentor staff effectively.
  • Experience in budget creation and management.
  • Ability to communicate effectively in writing and verbally for legal and financial documentation.
  • Proficiency in word processing, spreadsheets, and database management software.
  • Mathematical skills for financial record-keeping and budgeting.
  • Familiarity with industry software, particularly Yardi, is highly preferred.
  • Excellent written and verbal communication skills.
  • Valid driver's license and reliable transportation are required.
