Description
Under the direct supervision of the Business Services Director, this role provides essential financial support to the agency by leveraging a solid understanding of health and human services terminology and processes. Key responsibilities include entering client information and placement authorizations, managing accounts payable, handling insurance billing, generating financial reports, and performing various fiscal support tasks as required. This position necessitates the application of fundamental office support skills, including exceptional customer service and a basic understanding of accounting principles and data processing.
Duties/Responsibilities
The following duties represent the typical responsibilities associated with this position, though they may not encompass all tasks performed:
- Maintain awareness of agency programs to effectively address general inquiries and direct individuals to the appropriate contacts within the agency or external resources.
- Process monthly invoices using the designated program software and integrate them into the County's general ledger system.
- Assist in onboarding new employees with relevant software applications.
- Engage with state and local fiscal stakeholders to ensure the timely and accurate processing of funding claims and invoice payments.
- Transfer precise information promptly to Economic Support, Child Support Agency, and other relevant units.
- Input necessary placement and court-related child welfare data into the state child welfare database and other systems as required.
- Oversee the accurate completion of monthly billing for Private, Medical Assistance, Medicare, and other third-party payers while monitoring accounts receivable.
- Foster professional relationships with colleagues, supervisors, and management.
- Provide general administrative and financial support services to the agency as needed.
- Uphold the agency's mission and objectives.
- Ensure strict confidentiality regarding client communications.
- Perform all duties as assigned by the supervisor.
Qualifications
Education/Experience:
- Preferred: Associate Degree in Accounting, Business, Human Services, or a related field with three years of recent work experience; a combination of education and experience may be considered.
- Two years of experience in a human services environment.
- Proficiency in Microsoft Office and web-based applications.
- Familiarity with generally accepted accounting principles and direct experience with accounting software in a business context is preferred.
- Experience with Electronic Health Records is preferred.

Strong accounting background, organizational skills, and effective oral and written communication skills; attention to detail is essential. Skills and abilities may be evaluated through standardized pre-employment assessments.
Certificates/Licenses/Registrations: Possession of a valid Wisconsin Driver's License or access to reliable transportation.

Personal Time Off (PTO):
Extended Leave: Accrual at the rate of five (5) days annually (cap 20 days)
Holidays: Nine (9) paid holidays per year (Employees working on holidays receive overtime pay at 1.5 times the regular rate)
Short-term Disability: 66 2/3% weekly wages from days 30-89, at employee's cost
Term Life Insurance: One (1) times annual salary at no cost to employee; supplemental life available for employee, spouse, and children
Retirement - WRS: 2024 rates for employees: 6.9%; Employer portion: 6.9%
Deferred Compensation: Wisconsin Deferred Compensation - three (3) options for additional retirement savings (pre-tax)
Health Insurance: Begins on the 1st of the month following the date of hire; three (3) plan options available
