Administrative Assistant IV, Continuing Education

We are seeking an experienced Administrative Assistant IV to provide administrative support to the Dean of Continuing Education and the Continuing Education Leadership Team. The successful candidate will be responsible for providing exceptional administrative support, including preparing for regular staff meetings, recording meeting activities, and distributing meeting minutes. The ideal candidate will have a strong background in office management, excellent communication skills, and the ability to work independently with minimal supervision.
Key Responsibilities- Provide administrative support to the Dean and Leadership Team, including preparing for regular staff meetings, recording meeting activities, and distributing meeting minutes.
- Compose correspondence, create agendas, and write, edit, and proofread documents.
- Assist in the scheduling of college-wide committees, CE Leadership Team meetings, CE Advisory Boards, and other events.
- Assist with organizing, copying, and distributing institutional committee materials, as well as maintaining files and records.
- Perform receptionist duties, including answering phones, responding to emails, and greeting visitors.
- Assist with processing paperwork, including purchases, dining services, and travel expenses.
- Compile data and analyze information to develop statistical and special reports, grants, and other projects.
- Conduct research to assemble environmental scan data, documents, and manual updates.
- Maintain electronic files of reports and documents.
- Work cooperatively with support staff and assist with the operation of office routines for the Continuing Education Office.
- Coordinate and work special events.
- Serve as backup for registration during peak times.
- Education: High school diploma plus some college-level office technology courses, or equivalent experience.
- Experience: Minimum two years administrative assistant experience in project, event, and office management, working with internal and external customers.
- Skills: Self-motivated, goal-oriented, experience in problem-solving, strong organizational skills, proficient in written and spoken English, experience with maintaining a high degree of confidentiality, and good working knowledge of Microsoft Office.
The successful candidate will work in a general office environment, with a computer, printers, calculator, electronic typewriter, telephone, copy machine, and fax machine. The position requires the ability to work in an open environment, with average 12 hours per week, and additional hours during peak times. The candidate will interact with administrators, senior management, faculty, students, and community members.
