Job Overview:

As a seasoned Community Manager, you will be responsible for overseeing the day-to-day operations of a luxury condominium/townhome community in North Jersey. If you excel at building relationships and have managed large capital improvement projects with a strong understanding of facilities and mechanics, this is an ideal opportunity for you. The property boasts a stunning waterfront location and proximity to Manhattan.

Key Responsibilities:
  • Collaborate with the Board to prepare the Association's annual budget and ensure its effective implementation.
  • Manage the Association's financial affairs, including general financial management and recordkeeping.
  • Assist the Association and In-House counsel in collection matters and monitor maintenance fee accounts.
  • Provide monthly financial reports and ensure timely dissemination of information.
  • Develop specifications for services received by the Association, including landscaping, snow removal, trash disposal, insurance, pool maintenance, and other essential services.
  • Oversee the bid process, review proposals, and create comparison spreadsheets to inform Board recommendations.
  • Negotiate contracts for routine services, subject to Board approval and counsel input.
  • Maintain accurate files, records, and correspondence in accordance with company procedures and best practices.
  • Prepare Board meeting agendas, monthly management reports, and other materials for the Board Packet, ensuring timely distribution.
  • Coordinate activities of association professionals, including attorneys, auditing firms, and engineering firms.
  • Establish and maintain an annual calendar outlining association activities, deadlines, elections, meetings, projects, and other critical events.
  • Foster a cohesive working environment through team-building initiatives.
  • Regularly review and discuss performance with direct reports and team members.
  • Ensure adherence to policies, tools, and programs by staff in day-to-day management and operations.
  • Support the implementation of company and business unit initiatives and strategies.
Requirements:
  • Bachelor's Degree or equivalent relevant work experience.
  • Excellent relationship-building skills.
  • Strong understanding of large capital improvement projects and facilities/mechanics.
  • Minimum 7 years of relevant work experience, preferably in hospitality, property, or facilities management.
  • Minimum 2 years of project management experience.
  • Experience managing large direct or indirect staff.
  • Working knowledge of budgets and fiduciary responsibility.
  • Demonstrated decision-making ability.
  • Strong written and verbal communication skills.
  • Working knowledge of legislation impacting property management (preferred).
  • Strong understanding of the proposal/bid process.
  • CMCA/AMS certification (or willingness to obtain).
  • Critical thinking, problem-solving, judgment, and decision-making abilities.
  • Proficiency in computer programs like Microsoft Office, Outlook, and Windows.
  • Ability to handle sensitive and confidential information.
