Job Summary

We are seeking a skilled Property Management Administrative Assistant to join our team at ResidentialONE in the mid-Atlantic region.

This role will provide administrative support to Regional Directors, ensuring efficient day-to-day operations and exceptional resident experience.

About the Role

As a Property Management Administrative Assistant, you will:

  • Collaborate with Regional Directors to identify needs and gather essential information for owners, asset managers, and compliance agencies.
  • Gather and review Weekly Status reports and delinquency reports.
  • Respond to resident inquiries and assist in resolving issues.
  • Assist in assembling Replacement Reserve Requests and gathering budget information.
  • Review monthly financial reports from site managers and respond to vendor requests.
  • Maintain up-to-date records of contracts on the 'S' drive for all properties.
  • Coordinate preventative maintenance inspections and maintain records with on-site staff.

Key Responsibilities:

  • Duty 1: Work closely with Regionals in assessing their needs.
  • Duty 2: Gather needed information for owners, asset managers, compliance agencies, etc.
  • Duty 3: Review Weekly Status reports, and delinquency reports.
  • Duty 4: Return phone calls to Residents, as needed, and attempt to assist in solving issues.
  • Duty 5: Assist in assembling Replacement Reserve Requests.
  • Duty 6: Gathering needed budget information.
  • Duty 7: Reviewing monthly financial reports from site managers.
  • Duty 8: Respond to Vendor requests, and research outstanding invoices.
  • Duty 9: Organize and keep up to date the Contracts on the 'S' drive for all the properties.
  • Duty 10: Assist with scheduling preventative maintenance inspections and maintaining records with on-site staff.

Requirements:

  • Bachelor's degree or equivalent experience in property management, administration, or related field.
  • Excellent verbal and written communication skills.
  • Familiarity with property management software and Excel knowledge.
  • Ability to navigate complex systems and prioritize tasks efficiently.
  • Strong problem-solving skills and attention to detail.
  • Experience in housing with services, such as food or care for residents is a plus.
