Role Summary:

We are currently in search of a Human Resources Assistant. This role is pivotal in supporting the overall success of our HR department by providing essential administrative assistance and contributing to various departmental projects and initiatives.

Key Responsibilities:

Benefits Administration Support:

  • Assist with the enrollment process for new hires.
  • Conduct benefits reporting.
  • Address inquiries related to benefits and 401(k) plans.

Personnel File Management:

  • Maintain and organize all personnel, benefits, background check, and terminated employee files.
  • Create and manage benefit and personnel files as necessary.
  • Organize background check documentation as required.
  • Compile terminated employee files by consolidating relevant documents.
  • Track and manage I-9 documentation for compliance.

Administrative Support for HR Department:

  • Prepare materials for new hire orientations.
  • Collaborate with the HR Coordinator on office supply management within budget constraints.
  • Coordinate with external vendors for supply orders and deliveries.
  • Manage general office phone communications.
  • Track and order service award pins and certificates.
  • Handle shipping and mailing needs for the department.
  • Work with the Marketing Project Manager to maintain an updated staff directory.

Project Support for HR Initiatives:

  • Prepare documents for training sessions and meetings.
  • Assist the HR Director with data compilation for various projects.
  • Support compliance audits of personnel files.
  • Help with updating employee information in HR systems.
  • Assist with job fair coordination and related materials.

Qualifications:

  • Completion of some college coursework in Human Resources, Psychology, Sociology, or a related field is preferred.
  • A genuine interest in pursuing a career in Human Resources.

Educational Requirements:

Bachelor's Degree in Human Resources, Psychology, or a related discipline is desired.

Licenses:

A valid California Driver's License is required.
