Job Summary

We are seeking a highly organized and detail-oriented Program Administrator to join our team at ATI | Advanced Technology International. As a Program Administrator, you will provide administrative support to our Division, Program Manager, and team members to accomplish program goals and objectives.

Key Responsibilities
  • Assist Program Managers with planning and execution of customer programs, handling frequent contact within and outside the company on significant matters requiring tact, persuasion, and negotiation skills.
  • Manage calendar for Manager and maintain team and company calendars, identifying and resolving potential scheduling conflicts.
  • Arrange meetings, conferences, video conferences, and telephone conferences, including equipment prep and testing, attendance tracking, room setup, and catering.
  • Develop and support meetings, workshops, conferences, video conferences, and telephone conferences.
  • Prepare and distribute correspondence, reports, technical documents, minutes, brochures, posters, press releases, and other informational material.
  • Develop sufficient program knowledge to effectively interface with team members, clients, and other stakeholders.
  • Manage and respond to requests for program information via the program's general inbox.
  • Record and analyze research data.
  • Responsible for the data entry and maintenance of accurate records for subcontractors, clients, and other stakeholders.
  • Act as the administrator for subcontractor, client, and stakeholder access and active DD2345 monitoring.
  • Coordinate program presence at tradeshows, preparing and producing informational materials, contract for booth space and services, staff booth or assist with coordination of team member staffing.
  • Provide Program Manager with support and assistance, including drafting program-related correspondence, reports, task descriptions, and deliverable tracking.
  • Maintain electronic and paper files for programs in the business unit, including draft and version control, archiving, and back-ups.
  • Provide general administrative support to business unit team members.
  • Work with the business unit and program team(s) on process improvement, including tracking metrics.
Requirements
  • Bachelor's Degree and two years related experience, or an Associate's Degree and four years related experience, or High School and eight years of related experience.
  • Minimum of one or more years' experience working in a program support role.
  • Communication skills, including presentations, technical reports, meeting management, and work group management.
  • Shows individual initiative and active engagement.
  • Computer skills, including intermediate Excel skills, MS Office Suite - Word, PowerPoint, Outlook, and Project desired.
  • Ability to travel to conferences and meetings required.
  • US Citizenship is required.
  • This position is subject to a background check that includes a review of criminal records.
