Position Purpose:

The Patient Services Coordinator is responsible for welcoming visitors and delivering exceptional customer service while managing incoming calls, scheduling appointments, and facilitating patient check-in and check-out processes in a dynamic environment. This role ensures the accuracy of patient information within the electronic medical record system by updating demographic details and verifying insurance coverage during each interaction. Additionally, the coordinator may assist colleagues with overflow tasks and other responsibilities as required.

Key Responsibilities:

1. Core Competencies:

- Takes ownership of performance to meet departmental standards and organizational values.

2. Customer Interaction:

- Welcomes visitors and callers, addressing inquiries and providing precise information regarding services, operational hours, location, and eligibility.

- Confirms and updates patient demographic information at every encounter.

- Verifies and updates insurance details for patients during each visit.

- Responds to calls, provides information, enters patient cases, takes messages, or directs calls to the appropriate department or individual.

- Assists in completing necessary client/patient forms in accordance with established protocols.

- Schedules and confirms appointments for patients and clients.

- Exhibits a willingness to learn and take on additional responsibilities; actively seeks opportunities for growth and demonstrates a proactive approach to work.

- Consistently delivers culturally and linguistically appropriate customer service.

3. Documentation:

- Completes assignments and scheduling tasks within the electronic record system.

- Ensures all relevant patient forms are filled out and attached to the patient record.

- Inputs all necessary patient demographics and information into the electronic record during the patient's visit, adhering to PHI and HIPAA guidelines.

- Locates and attaches appropriate files to incoming correspondence requiring responses.

- Copies correspondence and other printed materials, uploading them to the patient's electronic health record.

- Manages confidential and sensitive patient information in compliance with HIPAA regulations.

- Navigates the system resourcefully to achieve reasonable work objectives; demonstrates flexibility in adapting to process changes and accommodates new methods and procedures.

Required Qualifications:

- High school diploma.

- Certification in office administration, medical administration, or a related field is preferred.

Skills and Knowledge:

- Proven experience in a dental or medical office setting.

- Proficiency in Windows, Microsoft Office, and typing skills are essential.

- Familiarity with medical practice management software (e.g., Athena Health).

- Strong understanding of dental and medical terminology.

- Excellent verbal, customer service, and written communication skills.

- Positive demeanor towards patients and colleagues.

- Outstanding organizational abilities.

- Bilingual proficiency in Spanish and English is preferred.
