Job Overview

Position Summary: The primary role of the Certified Medical Assistant/Phlebotomist involves managing patient appointments, ensuring accurate patient registration, maintaining comprehensive medical records, and providing exceptional service to patients, their families, healthcare providers, and visitors. This position supports physicians and nursing staff in delivering patient care, performing necessary procedures, completing laboratory documentation, preparing examination rooms, and managing patient charts while facilitating physical assessments. The individual in this role collaborates closely with both clinical and administrative teams to uphold high standards of patient satisfaction through efficient and effective care.

Key Responsibilities:

  1. Welcome patients promptly upon arrival, ensuring a professional and friendly interaction. Maintain effective communication with patients, delivering outstanding customer service.
  2. Answer incoming calls within three rings, managing communications with the public and staff courteously. Ensure timely message recording and distribution, including essential patient details.
  3. Utilize an electronic scheduling system to arrange patient appointments based on physician availability and patient requirements, adhering to individual physician preferences. Conduct appointment reminder calls and reschedule as necessary.
  4. Register patients by accurately capturing demographic and financial information through various methods, including telephone interviews and direct contact. Adapt the registration process to accommodate the patient's age and needs.
  5. Communicate financial responsibilities to patients, collecting co-pays and issuing receipts during service. Gather updated insurance information at each visit.
  6. Prepare for patient visits by reviewing medical records and ensuring all necessary paperwork is completed and included in the patient chart. Update physician-specific forms as required.
  7. Ensure referrals are obtained for insurance carriers that mandate them, tracking authorized visits and expiration dates. Manage patient registration, appointment scheduling, and accurate message-taking.
  8. Adhere to established standards of conduct and corporate responsibility, seeking guidance when necessary.
  9. Assist in maintaining medical records by filing test results and other relevant information accurately.
  10. Consistently follow safety and infection control protocols, intervening in unsafe situations as needed.
  11. Comply with departmental policies regarding attendance, punctuality, and procedures, as well as organizational policies and mandatory training requirements.
  12. Perform essential Medical Assistant functions as required:
  • Evaluate patient needs, checking vital signs and skin conditions.
  • Conduct intake services, documenting findings in the medical record for clinical review.
  • Prepare patient charts, ensuring test and lab results are available for provider assessment.
  • Generate lab slips for routine tests.
  • Assist during examinations or serve as a chaperone when necessary.
  • Support patients during examinations and assist physicians in their care.
  • Help patients with mobility, dressing, or other necessary post-procedure care.
  • Perform tests such as EKG, BCBGM, and phlebotomy, documenting all relevant information.
  • Manage supplies and linens, ensuring treatment rooms are ready for patient care. Track laboratory and other procedures, ensuring completeness of medical records as ordered by physicians.

General Qualifications:

• Strong organizational and prioritization skills in a fast-paced environment. Ability to work effectively as part of a team. Self-motivated with a basic understanding of medical terminology.

• Participate in interdepartmental and hospital committees as appropriate.

• Adhere to established safety and infection control procedures, intervening in unsafe situations as necessary.

• Meet or exceed the expectations of individuals receiving services.

• Engage in interdepartmental and hospital committees as appropriate.

Education Requirements: High school diploma or equivalent (GED)

Certifications Required: CMA, CPT, HIPAA, CPR

Experience Required: Minimum of two years in a medical setting.

Supervisory Responsibilities: This position does not include supervisory duties.

Supervision Received: Reports to Office Coordinator/Manager.
