Billing Operations Manager

Position Overview

The Billing Operations Manager is responsible for overseeing the daily operational functions of the medical billing division. This role entails managing client projects and ensuring the delivery of exceptional service. The manager will provide coaching and support to team members to help them achieve both client and personal development goals. Additionally, this position will assist in personnel administration tasks.

Key Responsibilities

  • Supervise the billing department's operations, including medical coding, charge entry, claims submissions, payment processing, accounts receivable follow-up, collections, electronic file management, and reimbursement processes.
  • Collaborate with the President of Medical Billing to develop and implement effective procedures and policies for staff workflow and personnel management.
  • Organize and oversee daily activities to ensure billing deadlines are met and revenue is maximized.
  • Educate and mentor staff, serving as a subject matter expert in billing practices.
  • Maintain up-to-date knowledge of insurance carriers, payers, and revenue cycle processes.
  • Manage the onboarding process for prospective new clients.
  • Participate actively in planning, troubleshooting, and processing across various billing functions.
  • Conduct analysis of billing and claims for accuracy and completeness.
  • Audit existing processes to enhance the efficiency of billing and collections operations.
  • Ensure compliance with all HIPAA regulations and guidelines.

Qualifications

  • Associate's degree in a related field or equivalent experience.
  • A minimum of three years of experience in medical billing, coding, healthcare, or a related field.
  • Proficient understanding of medical information systems, claims payment processes, medical terminology, coding practices, managed care, and Medicaid programs.
  • Familiarity with:
    • CPT codes
    • ICD-10-CM codes
    • HCPCS codes
    • HIPAA regulations
    • HCFA 1500 forms

Preferred Qualifications

  • Certification as a Certified Professional Coder (CPC) or Certified Professional Medical Auditor (CPMA) is preferred.

Business Development

  • Manage client accounts to ensure that customer service requirements are fulfilled.
  • Identify opportunities to expand sales within existing accounts.

Leadership Responsibilities

  • Report directly to the President of the organization.
  • Supervise the medical billing staff, overseeing both personnel and workflow activities.
  • Conduct annual performance evaluations for medical billing staff.
  • Provide guidance and support for career development opportunities, including training and feedback.
  • Establish and maintain positive working relationships with peers, supervisors, and clients.
  • Review employee timesheets and report on technical accuracy.
  • Collaborate with the Talent Manager to recruit, develop, and retain high-performing employees.

Technology Management

  • Coordinate with vendors to ensure the seamless implementation and ongoing maintenance of billing systems.
  • Train and oversee the use of software utilized within the organization, including:
    • Clearinghouse software
    • Medical billing software
    • Data management workflow software

Physical Requirements

  • Frequent use of hands and fingers associated with computer equipment.
  • Ability to sit for extended periods.
  • Occasional stooping, kneeling, or crouching may be required.
  • Normal visual acuity and the ability to communicate verbally.
  • Occasional lifting or moving of items up to 20 pounds.

Work Environment

  • This is an on-site position within a standard office environment.
  • Occasional exposure to loud sounds and distracting noise levels may occur.
