Medical Billing Operations Supervisor

Position Overview

The Medical Billing Operations Supervisor is responsible for overseeing the daily functions of the billing department at Spark Talent Acquisition, Inc. This role involves managing client projects and ensuring the delivery of exceptional service. The supervisor will also mentor and support team members in achieving both client and personal growth objectives. Additionally, the supervisor will assist in administrative tasks related to personnel management.

Primary Responsibilities

  • Manage the billing department's operations, including medical coding, charge entry, claims processing, payment posting, accounts receivable follow-up, collections, and reimbursement management.
  • Collaborate with leadership to develop and implement effective procedures and policies for staff workflow and personnel management.
  • Organize and oversee daily activities to ensure billing deadlines are met and revenue is maximized.
  • Provide training and guidance to staff, serving as a subject matter expert and mentor.
  • Maintain up-to-date knowledge of insurance carriers, payers, and revenue cycle processes.
  • Oversee the onboarding process for prospective new clients.
  • Participate actively in planning and troubleshooting across various billing functions.
  • Conduct analyses of billing and claims to ensure accuracy and completeness.
  • Audit existing processes to enhance the efficiency of billing and collections operations.
  • Ensure compliance with all HIPAA regulations and guidelines.

Qualifications

  • Associate's degree in a related field or equivalent professional experience.
  • A minimum of three years of experience in medical billing, coding, or a related healthcare field.
  • Proficient understanding of medical information systems, claims payment processes, medical terminology, and coding practices.
  • Familiarity with:
    • CPT codes
    • ICD-10-CM codes
    • HCPCS codes
    • HIPAA regulations
    • HCFA 1500 forms

Preferred Qualifications

  • Certification as a Certified Professional Coder (CPC) or Certified Professional Medical Auditor (CPMA) is preferred.

  • Report directly to the President of Spark Talent Acquisition, Inc.
  • Supervise the medical billing team, overseeing both personnel and operational activities.
  • Conduct annual performance evaluations for medical billing staff.
  • Provide career development support and training opportunities for team members.
  • Foster positive working relationships with peers, supervisors, and clients.
  • Review employee timesheets and report on technical accuracy.
  • Collaborate with the Talent Manager to recruit and retain high-performing employees.

Technology Management

  • Coordinate with vendors to ensure smooth implementation and ongoing maintenance of billing systems.
  • Train staff on the software used within the organization, including:
    • Clearinghouse software
    • Medical billing software
    • Data management workflow software

Physical Requirements

  • Frequent use of hands and fingers for computer tasks.
  • Ability to sit for extended periods.
  • Occasional bending, kneeling, or crouching.
  • Normal visual acuity and the ability to communicate effectively.
  • Occasional lifting or moving of items up to 20 pounds.

Work Environment

  • This is an on-site position in a standard office setting.
  • May occasionally encounter loud sounds and distracting noise levels from office equipment.
