Job Description

HVAC Service Operations Coordinator

Key Responsibilities

  • Manage customer requests for service, ensuring timely completion of preventative maintenance and alignment with monthly forecasting goals.
  • Coordinate labor scheduling to align technicians with customer needs, communicate action plans and services to customers, and perform follow-up to ensure customer satisfaction.
  • Answer customer inquiries, resolve or escalate issues as necessary, and maintain consistent communication with assigned technicians.
  • Ensure all customer account information is up-to-date in NxGen, and reconcile exceptions (SIR and AP) in a timely manner.
  • Attend weekly planning/scheduling meetings and participate in service + rewards initiatives.
  • Assist with monitoring time and expense reporting submission, review and correct unassociated time for timesheets, and perform other administrative duties as assigned.

Requirements

  • High school diploma or equivalent required, plus two to five years of service industry experience managing service operations and/or service scheduling.
  • Strong interpersonal skills to effectively communicate with internal and external clients, and ability to prioritize work activities based on financial impact to desired business goals.
  • Able to influence diverse teams to accomplish tasks/goals, and prior dispatch experience is desired.

Preferred Qualifications

  • Associates degree preferred, and experience with basic project accounting or costing principles is desired.
