Under the direct oversight of the Circulation Manager, the Administrative Support Specialist will engage in direct public service to a wide range of age groups within Brooklyn's culturally rich community. Responsibilities include managing the circulation desk, performing data entry, and assisting in the training, evaluation, and supervision of part-time staff.

This role is essential in delivering outstanding customer service while also handling routine administrative and clerical tasks.

Responsibilities include aiding in the recruitment, hiring, and training of part-time staff and volunteers, ensuring that Library patrons receive prompt and exemplary service.

Duties also encompass maintaining, processing, and preparing documentation, generating reports, coordinating schedules, and completing data entry tasks. The Specialist will assist customers with library services, applications, technology, and circulation desk operations. Communication and interpretation of Library policies and procedures will be necessary as required.

Key Responsibilities:
Provide direct public service and ensure high-quality customer interactions.

Manage the check-in and check-out processes for library materials.

Renew and confirm the circulation status of library items.

Assist patrons in utilizing technology effectively.

Input data into the Library's automated systems.

Prepare and process supply orders and requisitions.

Handle library card applications.

Process incoming and outgoing materials (mail, interchange, etc.).

Compile budget reports.

Organize staff schedules as assigned.

Train part-time staff and/or volunteers.

Manage holds processing.

Perform additional duties as assigned.

Qualifications:
A High School Diploma or equivalent is required.

A minimum of one year of experience in an office setting with a focus on clerical tasks.

Proficiency in Microsoft Office (Outlook, Word, Excel).

Strong communication skills are essential.

Experience in a customer service-oriented environment is preferred.

Ability to thrive in a fast-paced, collaborative environment.

Familiarity with working in a diverse workforce is important.

Must be organized with a keen attention to detail.

Willingness to be flexible and adapt to various situations.

Availability to work evenings and weekends.

Ability to lift materials up to 40 lbs.

Capability to stand for extended periods.

Comfort with bending, stooping, or crouching.

Engagement in public service within the community (e.g., outreach, school visits, fairs, etc.).

The starting salary for this position is $32,322. This role is part of the bargaining unit.
