Core Responsibilities:

  • Collaboration & Coordination: Partner with project management teams to create and assemble procurement packages for contractors and service providers. Your responsibilities may also include managing changes as necessary.
  • Competitive Bidding & Selection Oversight: Supervise various bidding and selection processes from initial planning through to final award. This encompasses all administrative tasks, including preparing procurement documents, issuing addenda, managing evaluation materials, and finalizing contracts.
  • Pre-Qualification Process Oversight: Direct the pre-qualification processes for professional and construction service firms. This involves preparing RFQ packages in collaboration with Subject Matter Experts (SMEs), leading pre-submittal instruction meetings, coordinating requests for clarification, issuing addenda, reviewing submitted statements of qualifications, facilitating evaluations, and managing post-award submissions through to contract execution.
  • Adaptability & Versatility: Your tasks and responsibilities may evolve over time based on workload and departmental needs, as determined by your supervisor.
  • Compliance & Adherence: Ensure strict compliance with all policies, procedures, templates, and applicable laws as part of your daily responsibilities. This role is essential for maintaining compliance under the scrutiny of regular audits.
  • Reporting & Quality Assurance: Oversee reporting, tracking, and quality assurance for all assigned procurement processes, ensuring accuracy and thoroughness at every stage.
  • Concurrent Project Management: Manage multiple procurement processes simultaneously, coordinating with various stakeholders to ensure efficient operations.
  • Non-Supervisory Role: This position is primarily administrative in nature. Applicants should be aware that this role does not involve supervising others.
  • Attention to Detail: Given the critical nature of compliance in this role, a strong attention to detail is imperative.
  • Work Environment: The current policy allows for a flexible work schedule, including a combination of in-office and remote work, subject to supervisor approval.

Qualifications

Minimum Required Qualifications:

  • Experience: You possess 1-3 years of relevant experience that aligns with the responsibilities of this role, providing you with the practical knowledge necessary to contribute effectively from the outset.
  • Contract Knowledge: You have a solid grasp of standard contract terms and conditions, enabling you to navigate procurement complexities with confidence.
  • Technical Proficiency: You are proficient in Microsoft Excel, Word, and Adobe Acrobat, utilizing these tools for organizing, analyzing, and presenting information accurately.
