Job Summary

We are seeking a highly organized and detail-oriented Housing Operations Assistant to join our team at Daybreak. The successful candidate will be responsible for providing administrative support to our housing programs, ensuring the smooth operation of our facilities, and maintaining accurate records.

Key Responsibilities
  • Collect and maintain statistical data for grant writing and reporting purposes
  • Assist in the preparation of statistical reports
  • Complete client expense and rent vouchers, and submit client payments to Finance
  • Enter expenses and payments into the client database to ensure accuracy and timely submission
  • Prepare client communications to ensure compliance and effective communication
  • Improve and maintain tracking and filing systems for program leases, renewals, and terminations
  • Collaborate with the Housing Director and Finance on report preparation for Tax Credit apartments
  • Qualify clients for the program through the Tax Credit qualification/recertification process
  • Collaborate with the youth team to match participants to suitable housing options
  • Orient eligible participants to the program, providing housing search and supportive services
  • Assess housing barriers of homeless youth to determine services needed for housing
  • Create and maintain consistent communication channels with involved parties
  • Maintain the client database, financial records, and monthly-client invoice system
  • Assist the Housing Manager with landlord-related issues and access landlord networks
  • Facilitate communication between tenant, landlord, collaborating agencies, and vendors
  • Maintain accurate records, monthly outcome reports, and Housing files
  • Coordinate with utility companies to connect and disconnect client services
  • Assist the HMIS System Administrator with data entry and maintenance
  • Coordinate cleanings, moves, and furniture delivery for clients
  • Perform related administrative duties, such as preparing spreadsheets and reviewing client Medicaid status
Requirements
  • High school diploma or GED, plus 5 years of database and word processing experience, or BA or equivalent, plus 2-3 years of experience in general support/clerical functions
  • Ability to read and interpret documents, write routine reports, and communicate effectively with program staff
  • Ability to add, subtract, multiply, and divide in all units of measure, and compute rate, ratio, and percent
  • Ability to apply common sense understanding to carry out instructions and deal with problems involving several concrete variables
Working Conditions

The work environment is typically moderate, with occasional lifting and moving of up to 25 pounds. The successful candidate will be required to pass a background check and pre-employment testing, including a tuberculin skin test or chest x-ray, and a urine drug screening.
