About the Role:
Stoll Keenon Ogden PLLC is in search of a dedicated Legal Assistant to enhance our employment-based immigration practice. This role is well-suited for individuals who have experience in office support, document preparation, and general administrative functions in a legal environment.
Key Responsibilities:
- Managing and processing incoming mail, including regular updates and distribution of materials to clients and attorneys for documentation purposes.
- Setting up new files and conducting intake processes, which includes drafting engagement letters and organizing physical files as needed.
- Maintaining and organizing a substantial volume of both digital and paper records, ensuring original documents are properly cataloged.
- Compiling and managing detailed case files and associated documentation.
- Communicating effectively, both verbally and in writing, with clients, vendors, and government entities.
- Preparing a high volume of correspondence for clients and other relevant parties.
- Tracking deadlines, scheduling appointments, managing calendars, and completing expense reports.
- Overseeing attorney Continuing Legal Education (CLE) documentation.
Qualifications and Skills:
- Exceptional organizational abilities, with a keen attention to detail and the capacity to prioritize multiple tasks while collaborating with various supervisors.
- Proficient in technology, particularly with MS Word, Outlook, and Excel; eager to learn new systems and processes. Preference will be given to candidates with experience in immigration law and case management software.
- Strong interpersonal skills, with a focus on effective communication and teamwork across the firm.
- Goal-oriented, with a proactive approach to challenges and responsibilities.
- Reliable and capable of managing assigned tasks within a fast-paced environment.
- A collaborative team player who is flexible and willing to work additional hours when necessary.
Experience Required:
- Demonstrated experience as a Legal Assistant, particularly in immigration law.
- Familiarity with Microsoft Office Suite (Excel, Word, Outlook).
- Knowledge of standard office equipment including PCs, laptops, printers, scanners, and copiers.
- Outstanding written and verbal communication skills.
- Excellent interpersonal abilities, emphasizing relationship-building and active listening.
Employment Type: Full-time, with a standard workweek of 37.5 hours. Additional hours may be required to fulfill essential duties.
