Position Overview

The Department of Undergraduate Programs at West Virginia University is seeking applications for a (Hybrid) Retention Specialist.

This role is pivotal in orchestrating and executing a comprehensive array of support services aimed at enhancing the success of undergraduate business students, as evidenced by improved retention and graduation metrics. The focus will be on critical cohorts essential to retention, including first-time freshmen, academically challenged students, first-generation college attendees, and underrepresented minority groups. The selected candidate will engage in both programmatic and individualized initiatives to bolster these objectives while collaborating with the College's Undergraduate Programs Recruitment & Retention Team.

Key Responsibilities:

Support for Academically At-Risk Students

  • Lead and manage the Mid-Year Academy prior to fall and spring semesters, including outreach to students, collaboration with academic advisors for course scheduling, and ensuring students fulfill their enrollment obligations.
  • Design and facilitate virtual and in-person informational sessions for students on academic probation.
  • Potentially instruct courses focused on student success to meet retention objectives, including course delivery and assignment evaluation.
  • Provide success coaching for contractually readmitted students and those on academic probation or suspension.
  • Analyze student records for retention challenges and follow up on individual progress through personalized communication.
  • Maintain a caseload of 25-40 students per semester, meeting regularly to address administrative and academic challenges hindering degree progression.
  • Refer students to appropriate offices for issues beyond the scope of Undergraduate Programs and Advising.
  • Compile and maintain reports on student outcomes at semester's end.
  • Document student interactions in data management systems.
  • Manage Academic Probation Contracts and Contractual Readmission Program documentation.
  • Serve as the primary contact for student suspension appeals and participate in the review committee.
  • Oversee the Students Not Registered campaign at semester's end, collaborating with the Dean of Completion.
  • Participate in the University-wide Student Success Task Force.
  • Develop and conduct workshops or mentorship opportunities tailored to student needs.
  • Document and track student concerns, preparing periodic reports on service issues.
  • Supervise a graduate assistant managing a success coaching caseload.

General Student Retention and Persistence Support

  • In collaboration with the Assistant Dean, identify student groups that would benefit from targeted retention programming.
  • Assist in the Donor Scholarship Awarding process.
  • Work with the Office of First-Generation Programs to provide business-related support and coordinate events for first-generation students.
  • Plan and implement peer-led accountability programs to enhance study skills and motivation among underclassmen.
  • Develop workshops and programs to meet the needs of specific student populations.
  • Assist with student activities and events.
  • Create and analyze reports using Navigate to assess program effectiveness regarding retention.
  • Engage in College activities related to student engagement as necessary.

CLIMB Living Learning Community (LLC) Coordination

  • Collaborate with Housing & Residence Life to provide business-specific programming for CLIMB LLC residents.
  • Plan and execute several programs or events for residents each semester.
  • Coordinate in-hall academic advising for residents.
  • Represent the college at campus-wide meetings regarding Living Learning Communities.

Chambers Peer Mentorship Program Management

  • Direct the Chambers Peer Mentorship program, including recruitment, training, and evaluation of student mentors.
  • Supervise peer mentors to ensure alignment with retention goals.
  • Collaborate with course leads to integrate the mentorship program effectively.
  • Conduct assessments for continuous improvement of the mentorship program.
  • Manage scholarship awards for peer mentors.

Data Management and Reporting

  • Work with data analysts to create and maintain reports on student engagement and retention.
  • Track campus-wide retention strategies and inform leadership of necessary adjustments.
  • Coordinate with stakeholders to provide a comprehensive overview of student engagement activities.
  • Annually assess retention data and document service issues.

Additional Responsibilities

  • Serve on committees related to student success as appointed.
  • Assist with departmental events and recruitment activities.
  • Support team members in the selection process for student leaders.
Qualifications
  • Master's degree in education, business, administration, counseling, or a related field.
  • Minimum of one year of experience in a student-focused role within higher education preferred.
  • Equivalent combinations of education and experience will be considered.
  • All qualifications must be met by the time of employment.
