Key Responsibilities:

Billing Duties:

  • Examine time entries and adjust billing and cost rates to match the project rate schedule.
  • Update the Client Billing Summary with current time and expenses.
  • Generate a billing review summarizing the cumulative results of ongoing projects.
  • Prepare invoices based on the billing review report and forward them to Project Managers for assessment and distribution.

Accounts Payable Management:

Vendor Coordination:

  • Distribute and monitor new vendor packets, including COI, ACH/Payment, and W-9 forms.
  • Request and track COI certificates during renewal periods.

A/P Processing Tasks:

  • Create vendor purchase orders as vendors are selected.
  • Input vendor invoices against purchase orders upon receipt and approval by the project manager.
  • Compile an A/P report detailing outstanding accounts payable, including pay-when-paid percentages for subcontractor payments, and submit for approval.
  • Process authorized accounts payable transactions.

Accounts Receivable Duties:

A/R Processing Tasks:

  • Receive checks and allocate them against invoices.
  • Prepare an A/R Summary and verify its accuracy.
  • Generate monthly statements and distribute them to the Project Manager or client as instructed.

General Ledger Responsibilities:

Banking and Overhead Management:

  • Record credit card and autopayment transactions from bank feeds.
  • Reconcile bank and credit card accounts regularly.

Qualifications:

  • Demonstrated experience as a Bookkeeper or in a comparable role.
  • In-depth knowledge of bookkeeping practices, procedures, and accounting software.
  • Exceptional organizational and time-management abilities.
  • Capability to work independently as well as collaboratively.
  • Strong communication skills.
