Job Summary:

The Operations Support Specialist is an entry-level position that provides operational support to the customer and logistics specialists at NFI Industries. This role involves responding to inquiries, providing track and trace services, data entry, and problem-solving using standard operating procedures.

Key Responsibilities:

  • Learn the NFI non-asset intermodal operations and transportation processes.
  • Learn the general geography of the United States as it applies to transportation.
  • Learn about basic modes of transportation, including Full Truckload, LTL, and Intermodal.
  • Learn the fundamental aspects of NFI's Transportation Management System (TMS), including load entry, tracking, and dispatch.

Data Entry and Verification:

  • Enter orders into the system according to customer standard operating procedures.
  • Verify pertinent shipment information, including purchase order number, pick up number, delivery number, shipper information, and receiver information.
  • Troubleshoot any issues arising during the verification process and escalate to the carrier or customer account managers as necessary.

Appointments and Order Tracking:

  • Set pick up or delivery appointments and enter them in the system.
  • Request appointment changes according to standard operating procedures.
  • Monitor railroad tracing records while in transit and troubleshoot events that are delayed.
  • Contact carriers to set and confirm appointments and update the system.
  • Determine carrier ETA for delivery and flag any potentially late deliveries to the carrier and customer logistics specialist.

Additional Responsibilities:

  • Perform duties as assigned by management, including cross-training with other operations representatives on each other's areas of responsibility.

Requirements:

  • High school diploma or GED required.
  • College diploma preferred.
  • 12 years of experience in logistics and/or customer service preferred.
  • Strong computer knowledge or willingness to learn, MS Office applications.
  • Strong data entry, customer service, and troubleshooting skills.
  • Exceptional conflict resolution and negotiation skills.
  • Excellent oral and written communication skills.
  • Bilingual (English, French) preferred.
  • Ability and availability to work irregular or extended hours, including afternoons, nights, weekends, and potentially holidays as needed.
