We are in search of an Executive Assistant who embodies a proactive, intelligent, and modest approach to support the CEO. Exceptional written and verbal communication skills, along with meticulous attention to detail, are essential for this position. The ideal candidate will be exceptionally bright, adept at interacting with high-profile individuals, and demonstrate outstanding judgment with the ability to foresee challenges and address them preemptively. This role requires not only the capability to execute a variety of tasks but also substantial experience in managing family schedules, children's activities, and the executive's personal and professional calendar.
Key Responsibilities:
- Provide comprehensive administrative assistance and serve as the primary contact for the CEO.
- Oversee the organization of children's activities, school schedules, and maintain regular communication with caregivers and educational institutions for arranging playdates and carpools.
- Conduct research, present options, and manage registrations for children's summer camps, sports teams, and extracurricular activities.
- Maintain a precise and detailed calendar for the CEO; manage incoming scheduling requests, rearrange meetings as necessary, and proactively communicate any changes while anticipating scheduling conflicts.
- Coordinate personal appointments, reservations, and travel logistics for the CEO and their family.
- Organize all meetings; confirm attendance for events; arrange business meals and make necessary reservations; ensure the CEO is consistently informed of their schedule and any alterations.
- Assist with special projects for the CEO and the team.
- Engage professionally with high-net-worth individuals and donors, upholding privacy and established protocols.
- Collaborate with the CEO's office team, fostering a spirit of teamwork and maintaining effective communication with the Administrative Assistant and reporting to the Chief of Staff. Uphold standard operating procedures related to the CEO's office.
- Arrange both domestic and international travel for the CEO and Chief of Staff.
- Perform additional duties as assigned.
Qualifications:
- Experience in managing family schedules and activities is essential, whether in a professional or personal capacity.
- 5 to 8 years of relevant experience supporting C-level executives.
- Exceptional oral and written communication skills, interpersonal abilities, and a keen eye for detail.
- Capability to plan, initiate, and complete assignments with minimal supervision.
- Thorough knowledge of Google Suite.
- Highly organized, detail-oriented, and proficient in multitasking.
- Assertive, adaptable, and able to excel in both structured and unstructured environments.
- Ability to work efficiently under pressure and manage multiple priorities simultaneously.
- Critical thinking skills are a must.
- A collaborative team player with a strong sense of urgency.
- Comfortable navigating ambiguity in a fast-paced setting.
- Ability to work collaboratively across functions and with all organizational levels, including senior leadership.

Compensation: The salary range for this position is $90,000 - $110,000. Final compensation will depend on various factors, including candidate experience and expertise, as well as current market data. This role is eligible for an annual bonus based on individual and company performance, in addition to a comprehensive benefits package. The final candidate may possess more or less experience than outlined in the job description, and if so, an updated salary range may be applied to the final offer.
