Key Responsibilities:

  • Receive and process service requests, dispatching technicians as necessary.
  • Maintain accurate records of daily timecards and assist in payroll preparation.
  • Monitor technician clocking to ensure compliance with company policies.
  • Manage the lifecycle of work orders for assigned technicians.
  • Ensure timely completion of preventive maintenance tasks to achieve optimal performance.
  • Track and manage fleet and warranty service claims for assigned technicians.
  • Prepare detailed service quotes for clients and monitor their completion rates.
  • Assist in managing work in progress (WIP) for assigned technicians.
  • Review technician documentation and timecards weekly, as required.
  • Maintain WIP reports to ensure efficiency and timely service delivery.
  • Oversee accurate billing and profitability within the service department.
  • Perform additional administrative duties as assigned.

Qualifications:

  • Ability to work independently and collaboratively within a team.
  • Proficient in Microsoft Office Suite; familiarity with Adobe Acrobat is a plus.
  • Detail-oriented with strong organizational skills.
  • Excellent verbal and written communication abilities.
  • Analytical mindset with the ability to manage multiple tasks effectively.
  • Understanding of basic accounting principles is advantageous.
  • Ability to handle high-pressure situations and interruptions.
  • Consistent and punctual attendance is essential.
  • Professional appearance and demeanor are expected.

Working Conditions:

This is a full-time position requiring approximately forty hours of work per week, with the possibility of overtime as needed.
