The Senior Surgery Coordinator at St. Luke's Physician Group (SLPG) plays a crucial role in orchestrating and managing appointments across SLPG outpatient practices and various hospital departments, particularly for surgical or hospital-based procedures. This position is responsible for the comprehensive scheduling of appointments, coordination of services, and ensuring all necessary documentation and communication are in place for seamless appointments and procedures. The Coordinator meticulously reviews surgical schedules in advance to guarantee efficiency and optimal use of the physician's time.

KEY RESPONSIBILITIES:

  • Organizes and schedules diverse patient appointments.
  • Accurately gathers and completes essential registration, demographic, and insurance details to facilitate timely payments while scheduling appointments and collecting all necessary information for referrals or pre-certifications.
  • Assesses patients' financial requirements and provides assistance as needed.
  • Collaborates with other departments to ensure service coordination.
  • Maintains effective communication by offering information and guidance to patients, and identifies additional staff for patient inquiries when necessary.
  • Arranges all requisite pre-operative tests and blood work.
  • Discusses pre-operative guidelines with patients as directed by physicians.
  • Schedules and coordinates operating room availability in accordance with physician protocols.
  • Manages all clinical and administrative paperwork prior to surgical procedures, utilizing physician-approved forms and checklists; ensures all documentation is prepared for the surgeon ahead of the surgery date.
  • Continuously evaluates surgical schedules to optimize block time and enhance efficiency.
  • May oversee the coordination of surgical schedules across multiple service lines.
  • May be involved in the training and onboarding of scheduling coordinators within or outside their specialty area.
  • Engages in collaborative efforts to create efficiencies and improve processes within or across specific service lines for enhanced patient satisfaction.
  • Upholds confidentiality regarding all materials handled within the Network/Entity and ensures proper information release protocols are followed.
  • Adheres to Network and departmental policies concerning employee, patient, and environmental safety, following appropriate reporting procedures.
  • Exemplifies the Network's Service Excellence Standards in all interactions with customers (both internal and external).
  • Demonstrates performance improvement in relevant areas such as Clinical Care/Outcomes, Customer/Service Improvement, Operational Systems/Processes, and Safety.
  • Complies with Network and departmental policies regarding attendance and dress code.
  • Shows competency in assessment, treatment range, knowledge of growth and development, and communication appropriate to the age of the patient.
  • Responds to inquiries from patients and insurance carriers regarding scheduled surgeries.
  • Maintains ongoing communication among the physician, patient, insurance provider, and hospital.
  • Ensures patient confidentiality is maintained; complies with HIPAA and established compliance guidelines.
  • Possesses detailed knowledge of practice management and relevant software applications related to job functions.
  • Participates in continuing education as required.
  • Attends regular staff meetings.
  • Performs other related duties as assigned.

EDUCATION:

A high school diploma is required; college education or trade school is preferred.

TRAINING AND EXPERIENCE:

Three to five years of relevant experience is preferred. Proficiency in email and computer applications is essential. Familiarity with practice management and word processing software is necessary. Ability to manage multiple tasks simultaneously is crucial. Strong written and verbal communication skills, along with a positive attitude, are required. Accurate data entry into the computer system is expected.
