The Senior Scheduling Coordinator for St. Luke's Physician Group (SLPG) plays a pivotal role in orchestrating and arranging services across SLPG outpatient practices and various hospital departments, particularly for surgical or hospital-based procedures. This position entails comprehensive appointment scheduling, service coordination, and the management of all necessary documentation and communication to facilitate appointments and procedures. The Coordinator proactively reviews surgical or procedural schedules to ensure optimal efficiency and effective use of the physician's time.

KEY RESPONSIBILITIES:

  • Organizes and schedules diverse patient appointments.
  • Accurately gathers and processes basic registration, demographic, and insurance details to ensure prompt and precise payment for services while managing appointment scheduling and collecting all essential information for referrals or pre-certifications.
  • Assesses patients' financial needs and provides assistance as required.
  • Collaborates with other departments to coordinate services effectively.
  • Ensures clear communication by providing information and guidance to patients, identifying additional staff members for assistance when necessary.
  • Arranges all relevant pre-operative tests and laboratory work.
  • Reviews pre-operative instructions with patients as directed by physicians.
  • Schedules and coordinates operating room time in accordance with physician protocols.
  • Prepares all clinical and administrative paperwork prior to surgery, utilizing physician-approved forms and checklists; ensures paperwork is ready for the surgeon ahead of the surgery date.
  • Continuously evaluates surgical schedules to maximize block time and enhance operational efficiency.
  • May oversee the coordination of procedural or surgical schedules across multiple service lines.
  • May be involved in the onboarding and training of scheduling coordinators within or outside their designated location or specialty.
  • Engages in collaboration and process improvement initiatives to enhance efficiency and patient satisfaction across specific service lines.
  • Maintains confidentiality of all materials handled within the Network/Entity and ensures proper information release protocols are followed.
  • Adheres to Network and departmental policies regarding employee, patient, and environmental safety, following appropriate reporting procedures.
  • Exemplifies the Network's Service Excellence Standards in all interactions with customers (internal and external).
  • Demonstrates Performance Improvement in relevant areas such as Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process, and Safety.
  • Complies with Network and departmental policies regarding attendance and dress code.
  • Shows competency in assessment, treatment range, growth and development knowledge, and communication appropriate to the age of the patient.
  • Responds to inquiries from patients and carriers regarding planned surgical procedures.
  • Maintains ongoing communication among the physician, patient, insurance provider, and hospital.
  • Upholds patient confidentiality and complies with HIPAA and established compliance guidelines.
  • Possesses detailed knowledge of practice management and relevant software applications as they pertain to job functions.
  • Participates in continuing education opportunities as requested.
  • Attends regular staff meetings.
  • Performs other related duties as assigned.

EDUCATION:

A high school diploma is required. A college education or trade school background is preferred.

TRAINING AND EXPERIENCE:

Three to five years of relevant experience is preferred. Proficiency in email and computer applications is essential. Familiarity with practice management and word processing software is required. Ability to manage multiple tasks simultaneously is crucial. Strong written and verbal communication skills, along with a positive demeanor, are necessary. Accuracy in data entry into the computer system is expected.
