Job Title: Accounting Clerk

Position Overview: The Accounting Clerk will play a vital role in enhancing our financial and inventory processes. This position entails significant data management responsibilities, alongside the execution of accounting and inventory functions. The ideal candidate will possess a robust knowledge of retail accounting, experience in inventory control, and exemplary data entry capabilities.

Key Responsibilities:

  • Data Management:
    • Conduct extensive data entry tasks, including the input and updating of financial transactions, inventory logs, and sales figures into accounting and inventory systems.
    • Guarantee the precision and completeness of entered data while maintaining data integrity.
  • Transaction Management:
    • Document and validate daily retail sales transactions, encompassing cash, credit card, and check payments.
    • Reconcile daily cash and credit card receipts with sales reports to ensure accuracy.
  • Accounts Administration:
    • Process and verify invoices related to retail purchases and inventory, ensuring compliance with company policies.
    • Prepare and manage payments for vendors and suppliers, overseeing payment schedules.
    • Monitor and follow up on outstanding accounts receivable to ensure timely collection.
  • Inventory Oversight:
    • Assist in tracking and managing inventory levels, including recording stock quantities and identifying discrepancies.
    • Reconcile inventory records with physical stock counts and investigate any variances.
    • Support inventory audits and ensure proper documentation for inventory transactions.
  • Financial Reporting:
    • Assist in the preparation of financial reports and summaries related to retail operations and inventory, including sales and expense reports.
    • Support month-end and year-end closing processes with accurate financial and inventory data.
  • Record Maintenance:
    • Maintain accurate and organized financial and inventory records and files.
    • Ensure all documentation is properly filed and easily accessible.
  • Customer Relations:
    • Address and resolve accounting and inventory-related inquiries from customers and vendors in a professional manner.
  • Regulatory Compliance:
    • Assist in ensuring adherence to company policies, retail accounting standards, and regulatory requirements.
    • Support internal and external audits as necessary.

Qualifications:

  • Education:
    • High school diploma or equivalent; Associate's degree in Accounting, Finance, or a related field preferred.
  • Experience:
    • Demonstrated experience as an Accounting Clerk or in a similar role within a retail environment with inventory management responsibilities.
    • Proven experience with extensive data entry tasks and a high level of accuracy.
  • Skills:
    • Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite (Excel, Word).
    • Strong attention to detail and data accuracy.
    • Excellent organizational and multitasking abilities.
    • Good communication and interpersonal skills.
