We are currently in search of a Customer Service Representative to join our team. This role is pivotal in providing administrative and operational support within the designated department.

Key Responsibilities:

  • Manage and direct incoming phone calls efficiently.
  • Welcome visitors, assess their needs, and guide them to the appropriate personnel.
  • Maintain the cleanliness and organization of shared spaces.
  • Oversee the accurate and timely processing of payroll for assigned branches.
  • Input payroll-related information into the system to ensure deadlines are met.
  • Sort and distribute daily mail.
  • Coordinate courier services as needed.
  • Assist with bulk mailing tasks as requested.
  • Draft and prepare correspondence for the executive team.
  • Manage office supply inventory and coordinate special orders.
  • Request Insurance Certificates as necessary.
  • Facilitate customer invoice approvals as required.
  • Process deposits and credit card transactions.
  • Maintain an organized electronic filing system.
  • Coordinate special events as required.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • At least one year of experience in a receptionist or administrative role.
  • Professional demeanor with a friendly and approachable attitude.
  • Exceptional interpersonal communication skills with a focus on customer service.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Word and Excel; familiarity with PowerPoint is a plus.
  • Typing speed of at least 45 words per minute.
  • Demonstrated organizational skills and the ability to manage multiple tasks effectively.
  • Self-motivated with a proactive approach to improving processes.
  • Strong analytical and problem-solving capabilities.
  • Attention to detail and accuracy in all tasks.
  • Able to work collaboratively with diverse teams.
  • Customer-focused with the ability to build and maintain positive working relationships.
