Festival Coordinator, Volunteer Resources

Job Summary

The Festival Coordinator, Volunteer Resources is a key member of the Sundance Institute team responsible for recruiting, placing, and onboarding volunteers to support the operations of the Sundance Film Festival. This role requires excellent communication and organizational skills, with the ability to manage multiple projects and prioritize effectively.

Key Responsibilities

  • Drive the full cycle recruitment process, including sourcing, assessing volunteer applications, interviewing, and placing volunteers to best meet the needs of the Festival.
  • Work closely with assigned Festival teams to understand their needs and place qualified candidates in roles.
  • Foster strong relationships through all forms of communication with candidates.
  • Communicate clearly and consistently with Festival teams regarding their volunteer needs and placement.
  • Provide support and accountability to Festival teams to ensure alignment with department processes.
  • Provide ongoing and accurate information to assigned groups of volunteers and timely responses to their inquiries.
  • Support recruitment plans and processes to encourage diversity and increase accessibility within the organization.
  • Collaborate closely with the Senior Manager, Talent and Accommodations teams to accurately distribute and report on Festival-provided lodging for eligible volunteers.
  • Communicate expectations and accountability on a regular basis with volunteers to support an effective and positive volunteer experience.
  • Assist with tracking, building, and facilitating training sessions.
  • Audit, track, and monitor volunteer schedules, attendance, and absences via our online scheduling system.
  • Establish and maintain partnerships internally and externally with universities and community organizations to build talent pipelines.
  • Enter information in volunteer databases daily, maintaining up-to-date and accurate information.
  • Ensure Festival teams are empowered to provide comprehensive feedback to volunteers and hold them accountable.
  • Track and distribute volunteer benefits based on volunteer commitment levels.
  • Conduct venue visits throughout the Festival to check-in with volunteers and provide timely resolution to challenges as they arise.
  • Provide on-call after-hour coverage during the Festival to answer volunteer-related questions, concerns, or emergencies as necessary.
  • Review submitted volunteer evaluations with departments and conduct follow-up to compile relevant information as needed.
  • Write a comprehensive wrap report, as directed.
  • Support ongoing Talent Team and Festival projects.

Requirements

  • Legal authorization to work in the United States.
  • 1-2 years of related work experience.
  • Excellent written, verbal, and interpersonal and communication skills to effectively influence individuals of varying backgrounds and learning styles.
  • Ability to maintain confidential information.
  • Excellent organizational skills, with the ability to manage multiple projects and prioritize.
  • Proficiency in Google and Microsoft Office applications.
  • Ability to take initiative and strong analytical skills.
  • Experience with databases and FileMaker Pro a plus.
  • Prior experience working with volunteers a plus.
