Administrative Associate Job Summary

The ALL Family of Companies is seeking an Administrative Associate to support the Service Department in Columbus, OH. This full-time, non-exempt position offers a comprehensive benefits package and requires solid general office skills. Key responsibilities include answering multi-line incoming telephone calls, entering purchase orders and service work orders into the fleet maintenance software program, and monitoring preventative maintenance schedules. Additional tasks include preparing and maintaining records, processing documents, and maintaining conformity to safety requirements. The ideal candidate will have experience with heavy construction equipment, excellent communication skills, and the ability to work in a fast-paced environment.

Essential Functions
  • Answer multi-line incoming telephone calls and provide exceptional customer service
  • Enter purchase orders and service work orders into the fleet maintenance software program
  • Monitor preventative maintenance schedules and distribute to appropriate personnel
  • Prepare and maintain records and reports of work performed, inventories, price lists, shortages, shipments, expenditures, and goods used or issued
  • Perform various administrative tasks, including processing documents, faxing, filing, and data entry
  • Maintain conformity to safety requirements and other regulations
  • May assist with parts inventory
  • Other tasks as assigned

Skills and Experience Requirements
  • Experience with heavy construction equipment is a plus
  • Able to work in a fast-paced environment and meet deadlines
  • Must be able to work 40 hours a week and overtime as needed
  • Able to use phone, computer, and other office equipment
  • Must have a working knowledge of Microsoft Office products
