Job Overview

Position Summary: The Equipment Facilities Manager is tasked with overseeing a diverse range of responsibilities associated with planning, directing, supervising, ensuring adherence to regulations, and coordinating activities related to fleet management. This role is crucial for the successful execution and supervision of a comprehensive fleet management system. Key responsibilities encompass procurement and lifecycle oversight, monitoring and maintaining all fleet vehicles, managing compliance with DOT and other regulatory standards, ensuring data quality and reporting accuracy, and overseeing budgets to enhance fleet efficiency and quality.


Key Responsibilities

  • Oversees daily operations related to equipment, inventory control, and maintenance tasks. Maintains records, licenses, inspections, warranties, and service agreements for all organizational equipment and tools.
  • Reviews, updates, and enforces vehicle policies to align with electronic management systems, ensuring employee compliance with vehicle usage standards.
  • Proposes modifications and the establishment of policies and procedures to management.
  • Efficiently plans and organizes the use of vehicle and motor equipment resources for regular, special, and emergency operations.
  • Manages the daily functions of the Fleet Management System, including data entry and the generation and distribution of necessary reports.
  • Identifies and implements solutions for outstanding issues, such as mileage tracking for pool vehicles and other identified concerns.
  • Creates a comprehensive manual for staff guidance.

  • Communicates effectively, collaborates purposefully, and provides necessary information and guidance to achieve the organization's objectives.
  • Recognizes training needs with input from management, develops a personal improvement plan, and takes initiative in enhancing fleet management skills.

Qualifications and Skills

  • Proven experience in developing policies and procedures for fleet vehicle management and maintenance.
  • A minimum of 4 years of experience in fleet vehicle management.
  • Familiarity with fleet management software, associated policies and procedures, and tracking vehicle mileage and maintenance.
  • Capability to document processes and create user manuals.

Work Environment

  • Fast-paced, high-pressure environment requiring effective communication and a sense of urgency. Ability to perform multiple complex tasks accurately and swiftly is essential.

Travel Requirements

  • Minimal travel, less than 10%, may be required to visit project sites as necessary.

Education and Experience

  • A Bachelor's degree in a relevant field of study or equivalent experience is preferred.
  • 2 to 4 years of experience in fleet management is preferred but not mandatory.
